Job Description

TITLE:

Fiscal Director

SUMMARY:

The Fiscal Director is responsible for directing the overall accounting functions and assisting the Executive Director in the administration of planning and operational activities of the Center. Responsible for all aspects of the Center’s fiscal affairs to include maintaining all bookkeeping and accounting procedures in accordance with established guidelines; preparation and submission of accurate reports, grants and budget requests in a timely basis; and monitoring program budgets and account expenditures.

QUALIFICATIONS:

Required qualifications include the minimum of a four-year degree in accounting including or supplemented by courses or experience in management or a minimum of five years appropriate work-related experience. A strong background in non-profit management. Preference will be given to candidates 55 years and older who demonstrate an understanding of the special needs of the elderly and experience in non-profit agency management. The ability to communicate effectively, having an outgoing and friendly personality.

REQUIREMENTS:

Satisfactory criminal record and pass a drug test if given. Must have reliable transportation. Must be Adult CPR, AED and First-Aid certified.

RESPONSIBILITIES:

Direct supervision of the Data Input Clerk, Development Coordinator, and all money-making functions of Center areas including; Ceramics, Pool Room donations, and all other programmatic/Center donations.

Assist the Executive Director in supervision of other staff.

Oversee management of grants and fundraising efforts in order to track and report the progress of grants, ensure compliance with grant requirements, and maintain relationships with funders.

All Financial duties including A/R, A/P, Payroll, monthly financial reports, bank reconciliation, budget preparation and presentation, financial audits, finalizing and keeping files of leases and contracts.

Assist with Center Projects including Income/Loss analysis.

Represent the Center at all budget/grant request meetings.

Assist with on-calls of the Alarm Monitoring Company after hours, weekends and holidays unless on scheduled leave time.

Manage organizational cash flow and forecasting. Implement a robust contracts management and financial management/reporting system; ensure that the contract billing and collection schedule is adhered to, and that financial data and cash flow support operational requirements.

Oversee finances for needed repairs to building and equipment.

Oversee all equipment files, records of repairs, costs and warranty information.

Oversee the physical inventory and maintain “equipment sign-out” sheet for items on loan to participants or other non-profits.

Maintain all official permits, licenses, and Center inspections. Work with departments regarding semi-annual and annual inspections for kitchen, ADC, fire extinguishers, and sprinkler systems.

Assist staff with departmental inspections and equipment inventory.

Attend all funding sources meetings as a representative of the Center.

Actively seek and execute grants and other opportunities to help Center improvements, etc., keeping all required records.

Act as a representative of the Center in the community as well as an advocate for senior citizens.

Maintain a good working relationship with staff and Board of Directors.

Observe the Center’s confidentiality policy regarding participants, records, technology, reports and staff.

Responsible for maintaining and implementing the Center’s Internal Control Policies and Procedures.

Onboarding of new employees and maintaining personnel records.

Function as the purchasing agent for the Center.

Prepare invoices and statements for the ADC and any contracted vendors.

Provide all information needed for the annual audit.

Prepare reports and task requests for funders and grant providers.

Other duties as requested/required.
