We strive to set the standard for excellence among law firms in Hawaii while creating a progressive, inclusive, and supportive environment where our employees can thrive.Job Summary:This position supports the legal practice of Goodsill Anderson Quinn & Stifel (“Goodsill” or “GAQS”) in the preparation and/or recordation of documents, legal briefs, court subpoenas, filings, and related correspondence. The Team Assistant also schedules client appointments, prepares mailings, enters time, and produces documents for billing, and provides general secretarial support to the Attorney(s) and Legal Assistants.Depending on which legal department needs assistance, the Team Assistant may also help with research and general preparation for cases by gathering necessary documents, contacting outside resources, scheduling witness meetings and depositions, and preparing and tracking exhibits.Essential Duties and Responsibilities:Assist attorneys in drafting, revising/proofreading, tracking changes, and producing/copying/scanning legal documents such as complaints, answers, motions, notices, affidavits, appeals, subpoenas, and summons with minimal supervision.File and record documents in appropriate public departments.Maintain attorney calendar by planning and scheduling conferences and meetings, arranging for conference rooms, calendaring deadlines, and monitoring court appearance and filing dates.Manage document storage in Goodsill’s electronic filing system and hard copy filing, as needed.Answer incoming phone calls; communicate with clients via phone and email.Prepare spreadsheets, correspondence, and mailings; maintain client files.Enter timekeeper’s time for billing purposes; assist with billing.Assist and teach new attorneys and team assistants about protocols for filling out and submitting court documents.Requirements:Knowledge of legal secretarial principles and practices at a level normally acquired through training or its equivalent; minimum of four (4) years on-the-job experience in order to gain expertise needed to do substantive legal work.Knowledge of Hawaii Rules of Civil Procedure, Hawaii Rules of the Circuit Court, Hawaii Rules of Appellate Court, and other rules and procedures related to filings, electronic filings, fees, calendaring, and service requirements preferred.Knowledgeable with filings in different public agencies and departments, such as the Circuit Court, the various District Courts, the U.S. District Court for the District of Hawaii, Hawaii Supreme Court, Real Estate Commission, Land Court, Bureau of Conveyances, Tax Department, Department of Commerce and Consumer Affairs (DCCA), and other State and Federal agencies and departments preferred.High level of proficiency with Microsoft Office programs, especially Word and Excel.Strong organizational skills, with the ability to multi-task effectively, follow specific procedures, and prioritize responsibilities in a fast-paced, changing environment.High level of attention to detail, with the ability to proofread typed material for contextual, grammatical, typographical, and spelling errors.Good communication skills, both oral and written, to communicate effectively with clients and colleagues in a clear, concise manner.Ability to maintain the highest levels of confidentiality.Dependable, organized, and able to work well with others; strong work ethic.Ability to work extended hours as necessary to fulfill responsibilities.Commitment to professional growth and development.Notary License, or willingness to obtain notary license shortly after hired, required.Working Conditions and Safety Hazards on the Job:Minimal hazards, general office working conditions.High level of mental effort required to organize and manage multiple cases per respective deadlines.Ability to retrieve and distribute print volumes, packages, and books weighing up to 25 pounds.Ability to retrieve and replace objects from shelves up to eight (8) feet high.To apply, visit the job page on Indeed:https://www.indeed.com/job/team-assistant-administrative-assistant-31b5bb445fa6fa9f
