The Risk Management Administrative Support position is a key member of the risk management team reporting directly to the Director of Risk Management. This position acts as the point of contact for internal and external customers. The position works directly with departments systemwide on all their insurance needs from simply providing proof of insurance coverage to the need to procure a new policy. The position also works with the University’s insurance brokers to prepare and coordinate all the details that go into the renewal of approximately 25 insurance policy renewals annually, which leads to the internal allocation of each insurance policy’s premium. This position is also responsible for reviewing and processing internal and external Alcohol Use Applications.

Duties/ResponsibilitiesInsurance Program Support (35%):Provides U-wide insurance program resources to all University employees on all campuses.

Prepare and coordinate all insurance renewal information (applications and other underwriting data collections) for the University's approximately 25 property and liability insurance programs.Provide assistance for internal event/facility coordinators and external facility renters with securing insurance required for use of University owned facilities.Point of contact for the University community and the University’s Insurance Broker and Captive Manager.Maintain insurance policy list.Coordinate system wide insurance premium allocations.Financial Support (25%):Serve as the department's source of information regarding University fiscal policies.Initiate financial transactions (including vendor payments, purchase orders, contracts for professional services, honorariums, and employee expense reports) with the University’s Financial Operations Team (FinOps).Process insurance claim payments to internal departments.Process annual insurance premium charges to internal departments.Monitor and reconcile Risk Management’s central University budget account(s).Calculate the annual allocation of Property/Liability insurance costs ($16MM) across University system.Track financing and generate reports on the property claims budget ($2.5MM).Reconcile vendor accounting with insurance brokers, insurers, Third Party Claim Administrators, etc.General Administrative Support (40%):Point of contact for internal and external customers. Refer questions to appropriate departmental subject matter experts.Facilitate broker issuance of certificates of insurance.Review/process internal and external Alcohol Use Applications.Redirect credentialing/claim history requests to the Academic Health Center Legal Office.Act as Claims Specialist’s back up. Respond to questions on filing claims, claim status, requests for payroll information, invoice payment, etc.Establish and maintain policy files. Archive paper and electronic copies of insurance policies and financial documents.Monitor departmental email account.Assist with Google Calendar/meeting scheduling.Collect/distribute USPS/Campus Mail to internal Risk Management staff.Other duties as assigned.Requirements:Required (please document on resume)BA/BS plus at least two years of professional work experience or a combination of related education and work experience to equal 6 years.Self-motivated, assertive and takes initiative with attention to detail.Strong organizational and interpersonal skills.Ability to independently identify solutions and solve complex problems.Competence in server-based data entry.Facility with basic software, such as Word, Excel, Google Calendar, etc.Excellent oral and written communication.Preferred Qualifications:(please document on resume)Knowledge of University Policies and Procedures, University Operations and internal resources.Experience in Insurance/Risk Management including property, liability, auto and worker’s compensation insurance.
