USAID's Bureau for Humanitarian Assistance (USAID/BHA) is the lead federal coordinator for international disaster assistance. USAID/BHA provides and coordinates U.S. Government (USG) international humanitarian assistance to save lives, alleviate human suffering, and reduce the physical, social, and economic impact of rapid and slow-onset disasters by helping people in need become more resilient to future crises. Team Credence, through the Bureau for Humanitarian Assistance Support Contract (BHASC), provides operational and administrative support to provide and coordinate humanitarian assistance and maintain 24/7 response capability.

The Acquisition and Assistance (A&A) Coordinators provide administrative and operational support to the A&A unit to ensure timely execution of contracts, grants, cooperative agreements, and other agreements to implement effective programs.

Responsibilities include, but are not limited to:

Record and track award actions in BHA's award management system (Abacus) and internal databases.

Prepare Mail Runs and track award files for BHA's Agreement Officer's and Contracting Officer's.

Distribute copies of fully executed awards no later than 2 business days after award.

Maintain electronic and hard copy files and systems in compliance with U.S. Government and USAID standards.

Assist with entering award and contract data into USAID's financial and document repository systems (GLAAS, and ASIST systems).

Generate and track Agreement Officer Representative (AOR) designation letters for signature.

Assist in responding to inquiries from AORs and grantees on award or solicitation statuses.

Assist with data collection, dashboard updates and analysis on award status and A&A Team workload.

Assist with filing and compliance with applicable record keeping rules and regulations.

Coordinate logistics, such as scheduling and administrative arrangements, for meetings, implementing partners, and USG officials, as part of the program planning, approval, monitoring, and evaluation processes, at USAID's request.

Conduct written debriefings, as requested.

Perform other duties as assigned.

For Coordinators assigned to Acquisitions - Personal Services Contractor (PSC) Team, additional duties include:

Provide support to the PSC Team which assists in the recruitment, negotiation, award, and administration of U.S. Personal Services Contractors (USPSCs) in accordance with Federal and Agency acquisition and assistance rules, regulations, policies, and procedures to effectively maintain BHA's long term workforces and surge capacities.

Assist with tracking of current USPSC clearances and forms.

Assist in the drafting and routing of memos and requests from USPSCs.

Assist with new USPSC onboarding.

Support with ad-hoc requests, reports, and projects as needed.

Take ownership of assigned tasks and complete all necessary tasks to maintain files, trackers and databases.

Regularly interface with USPSCs, OAA, and other interagency stakeholders in a timely manner.

Handle confidential, personally identifiable information in a sensitive and professional manner.

Utilize time-management skills to respond to a high volume of daily email and verbal requests and ensure data accuracy.

Utilize good judgment and understanding of when to seek additional information to support the PSC hiring and administration process.

Respond to requests for information from current USPSCs.

Proofread award packages and ensure quality control checks are completed.

Education, Requirements and Qualifications

BS 0+ year of relevant experience with administrative assistance; or HS 4+ year of relevant experience.

Exceptional attention to detail.

Excellent written and oral communications skills.

Required to have at least US permanent residency with the ability to obtain and maintain Facility Access or have US citizenship with the ability to obtain and maintain a Secret Clearance.

Working Conditions and Physical Requirements

Hybrid work environment (in-person with the ability to telework).

Lifting in excess of 25 lbs, standing for long periods of time, traveling across base regularly, transporting equipment, etc).

Full salary for this position is $63,000.00 per year.
