Position SummaryUnder the general direction of the Director of Finance and Operational Services, this position is responsible for leadership, management, and administration for a wide variety of complex payroll and fiscal operations in the School of Continuing and Professional Studies. Primary responsibilities of the role include management of budget and accounting, payroll, and student billing, collections, and financial aid awarding. Budget types include gifts, revenue accounts, grants and contracts, endowments, self-sustaining budgets and state funds. This position will also provide financial analysis and reporting, special projects oversight, and will act in an advisory capacity for senior leadership at various levels.

Job Description

Primary Duties & Responsibilities:

Budget and Payroll Management

Provides administrative and day-to-day management of all budgets and payroll activities; analyze accounting and payroll operations, systems, and policies to ensure proper internal controls; develops and implements process improvements to increase efficiency.

Assists Director of Finance and Operational Services in the preparation of the annual budget by translating academic plans and programs into financial dimensions including three year all funds operation budget.

Assists Director of Finance and Operational Services with variance analysis reporting.

Prepares account reconciliations and allocations, and handle fiscal year end closing.

Resolves budget/expense issues, working with CFU accounting and financial planning.

Oversees administrative operations, reporting, and academic payroll for instructors and other academic personnel, ensuring efficient and accurate systems access, and appointments and payments in Workday, including compliance with department, university, and adjunct collective bargaining agreement.

Maintains financial and payroll databases; collaborates with university IT staff to ensure efficient and accurate accounting and data management.

Assists Director of Finance and Operational Services with functions related to CAPS, Workday FDM and HRM structure, including but not limited to cost center hierarchy, chart of accounts maintenance, work tags, non-carryforwards, projects, gifts, grants, and endowments; serves in lead security roles in Workday.

Oversees all operations for faculty and staff recruiting, record keeping, and other HR related functions to ensure that all university and school policies and procedures are followed.

Student Financial Services

Provides administrative oversight for all student-facing services related to student finance.

Ensures efficient and accurate billing, collections, and payment processing for undergraduate, graduate, OLLI, and other non-credit students.

Oversees financial aid administration and scholarship awarding for CAPS.

Manages use of PowerFAIDS to support needs of CAPS; works with Student Financial Services to ensure the system is utilized productively in support of operations.

Oversees financial services policy changes that improve and maintain student retention and satisfaction.

Financial Analysis, Reporting and Special Projects

Manages and reports on budgets, faculty demographics and payroll, student accounts receivables and collections, student financial aid and scholarships, student enrollments, academic programs, gifts and endowments, and grants.

Performs complex technical fiscal analysis and financial reporting including strategic planning, interpreting, reviewing and making recommendations.

Coordinates and executes special projects in support of strategic initiatives for CAPS including projects related to the advancement of academic programs, faculty and department coordinator relations, recruiting new and retaining current students, and building and monitoring reporting systems for all areas of CAPS including student services, advising, admissions, marketing, etc.

Financial Services Team Leadership

Provides leadership, management, and support for Financial Services team including, HR and Faculty Coordinator, Financial Analyst, and Accountant.

Provides training, development, motivation, and management of staff including employee performance review, professional development plans, and maintenance of staffing plans.

Develops and implements policies, systems, and procedures that foster a positive culture and maximize cross-functional collaboration.

Other Functions

Serves on Student Sunrise working group for Workday Student planning and implementation.

Performs other duties as assigned.

More About This JobThe school of Continuing and Professional Studies' Standard hours are Monday - Friday 8:30am - 5:00pm CST with your specific working hours to be discussed and finalized with your supervisor. Your hours may be modified based on departmental needs.

Salary Range$58,400.00 - $99,700.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
