Position Summary

The Temporary Events Coordinator plays an essential role in creating first impressions for a wide variety of university constituents, including alumni, donors, university administration, faculty, staff, and students, as well as community partners. The coordinator participates as an active member of the Strategic Excellence team, supporting a robust calendar of university events and engagements. This position is directly responsible for planning and coordinating events and entertainment aligned with the goals of University Advancement and the Office of the President, as well as partnering with and managing other division/department/unit activities when needed.

Candidates must have a demonstrated ability to manage projects independently and work collaboratively as part of a team. Prior event coordination experience is required. A strong skillset in prioritization, execution of tasks, organization, and a customer and hospitality-focused approach are essential to success in this role. Candidates are required to be able to work weekday, evening and weekend hours.

Position Minimum Qualifications

At least one (1) year of previous experience, including internships or part-time experiences, in an administrative role, such as event coordination, conference planning, or volunteer coordination.

Demonstrates active engagement and support of diverse individuals, opinions and perspectives, and actively engages with and supports the university’s mission, vision and values.

Ability and willingness to travel and work non-standard hours, including early mornings, evenings, and weekends.

Must have a valid driver’s license or the ability to obtain a driver’s license or access to a licensed driver by the employment start date.

Preferred Qualifications

Organizational and project management skills to independently establish priorities, manage completing tasks with deadlines, and respond positively to change

Experience planning and executing institutional events in a university/college setting

Experience working in a fast-paced environment with competing priorities, and the ability to adapt to mitigate issues quickly

Strong written and oral communication skills, including a great degree of comfort and effectiveness in public speaking and presentation; experience in coordinating high-level events

Tactful/diplomatic communication style, ability to communicate with varied audiences appropriately and with professionalism

Experience providing high-level customer service to diverse populations, and handling complaints and managing conflicts

Excellent attention to detail, accuracy, and quality in work produced

A demonstrated understanding of event, entertainment, hospitality and tourism industries

Working knowledge of computer systems, databases and software, including Microsoft Suite

Duty/Responsibility

Working with key university and community partners, plan and execute events that represent the University’s brand, mission, and vision at the local and state-wide level

Creates unique and community-focused events for audiences of various constituencies

Execute event timelines and components

Coordinate event logistics including but not limited to schedule, transportation, food & beverage, speakers, A/V technology, venues/locations, décor, logistics, and assembling of collateral materials/assets/resources to ensure a seamless and positive experience for event participants

Exercise initiative, sound judgment, creativity and discretion in performing work assigned. Anticipate and address concerns, responding to requests, and maintaining confidential files

Contribute to the total effectiveness of the overall unit, solving problems proactively, offering creative ideas and working as a positive, engaged team member

Act as liaison to vendors, attendees, and others related to the event

Support Managing Director of Strategic Initiatives by preparing collateral and presentations for meetings and projects, assisting with complex calendar management, and performing basic research in support of project-driven work

Coordinate a variety of production-related projects, including event support materials such as nametags, mailings, signage and itineraries
