Job Description

The Sandra Day O'Connor College of Law seeks a dynamic, self-starter for the position of Administrative Associate. The successful candidate will provide administrative support for the College of Law for faculty, centers, programs, and departments.

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse, which requires standing for varying lengths of time and walking moderate distances to perform work with frequent bending, reaching, lifting, pushing, and pulling up to 25 pounds. Regular activities require the ability to quickly change priorities which may include and/or are subject to resolution of conflicts.Ability to clearly communicate to perform essential functions.Use standard office equipment including, but not limited to, computer workstation/laptop (keyboard, monitor, and mouse), printer, calculator, copier, telephone, and associated computer/technology peripherals.

Minimum Qualifications

Bachelor's degree in Business or in a field pertinent to work unit and one (1) year of directly related administrative experience; OR, any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.

Essential Duties

Prepare classroom materials, notes, course descriptions, examinations, best/model answers, grade sheets, and posting of Canvas notices and first assignments.Generate correspondence, manuscripts, routine letters, and memos, and transcribe notes from rough drafts in a timely and accurate manner.Limited support for calendar and scheduling.Cross-train, work as a team, and be able to serve as backup for other team members as needed.Receive and distribute mail for faculty.Plan and arrange meetings and/or events and communicate arrangements to appropriate parties.Arrange necessary and extensive travel reservations and itineraries; anticipate and prepare background material as needed; complete travel documentation process, including entering trips into the Concur Travel System and the College of Law travel approval site to seek reimbursement for travelers.Prepare special/recurring reports containing sensitive information.Assist as needed as a point of contact to support incoming guests and miscellaneous requests.Maintain organized and up-to-date filing systems for documents and records.Assist in the preparation of presentations and materials for lectures and events.Coordinate with vendors and suppliers to purchase classroom materials and supplies.Prepare and compose confidential and sensitive correspondence and receive and screen telephone calls and visitors.Support the Trial Advocacy Program and other programs, centers, and departments as needed.Support team lead and back up as needed.Physical presence at the workplace is an essential function of this position.Other duties as assigned that support the goals of the department/College of Law.
