ABOUT THE JOB

The

Staff Accountant

is responsible for general accounting functions of our non-profit arts organization as well as processing and recording the weekly and bi-weekly payrolls. Reporting to the Accounting Manager, this role must demonstrate extensive knowledge in payroll and accounting practices, deliver excellent internal customer service, pay close attention to detail, and demonstrate good problem-solving and leadership skills.This role supervises the

Accounting Assistant

role, which is responsible to enter vendor information, verify A/P invoices, issue approved payments to vendors, process routine monthly payments and manage company credit card receipts and payments, to list some of their duties.

WHAT YOU’LL DO

Responsibilities for the

Staff Accountant

include but are not limited to:Accounting Responsibilities:

Perform general accounting and other related duties;Assist in preparing the monthly balance sheets and income statements;Make bank deposits and record in accounting system;Reconcile income data (ticket sales and fundraising), payroll, merchant processing and activity related to credit cards payments, and all other financial accounts;Reconcile all bank accounts at least monthly and verify deposits;Code invoices, set up new accounts and reconcile accounts;Track, reconcile and prepare quarterly Franchise Tax Board returns and payments (Form 592), Sales and Use Tax returns and payments, annual property tax filing and others as needed;Assist CFO with annual audit, as needed. Provide outside auditors with assistance; gather necessary account information and documents to perform annual audit;Coordinate with software vendor to maintain accounting software systems; recommend updates to enhance the accounting software;Manage purchasing and reimbursement systems;Maintain knowledge of acceptable accounting practices and procedures.

Payroll Responsibilities:

Ensure accurate and timely processing of actor’s payroll (weekly) and staff payroll (bi-weekly). Collect timesheets from department managers and confirm total hours worked, pay rates, manager approval, and authorization of overtime charges;Act as primary liaison with payroll processing company to ensure accurate and timely reporting to employees and regulatory organizations;Prepare and maintain accurate records and reports of payroll transactions and create payroll-related journal entries;Accrue and track employee benefits including vacation, sick and personal days. Calculate year-end accrual amounts;Prepare information for required responses to Employment Development Department (EDD) correspondence regarding Unemployment Insurance claims and benefits audits;Prepare and distribute monthly employee benefits reports (Health and Welfare Insurance);Reconcile Quarterly and Year-end payroll tax returns including DE9C and 941 to ensure payroll tax liabilities accuracy;Gather and track documentation for all required federal and state payroll tax payments/reporting for in-state, out-of-state, and international artist and vendor payments;Responsible for timely reporting and accuracy of year-end W-2 reporting to employees and vendors;Be available to employees by phone and email for payroll-related questions including time sheet tutorials, payroll app, tax documents, wage garnishments, and other payroll-related topics;Identify and recommend updates to the payroll processing software, systems and procedures. Coordinate with the payroll vendor for any necessary system updates for streamlined payroll processing;

Additional Duties:

Oversee the preparation of City of Beverly Hills quarterly invoice;Identify and propose ways to improve efficiency of processes related to all of the above;Keep supervisor informed of status of all work projects and ensure timely communication of any questions regarding priorities, deadlines, etc.;Perform other related duties as necessary or assigned.

SKILLS & EXPERIENCE NEEDED

Education and Professional Experience:

Bachelor’s degree in Accounting, Business Administration or related field is preferred;Three to five years of related experience required;

Required Skills:

Extensive knowledge of payroll function including preparation, balancing, internal control, and payroll taxes;Excellent verbal and written communication skills, with a high sense of service level for both internal and external interactions;Excellent organization skills and attention to detail;Strong analytical and problem-solving skills;Strong supervisory and leadership skills;Experience in QuickBooks is required;Proficient with payroll software. Prior experience with Paycom is a plus;When necessary, this role will require work occasional nights and weekends to satisfy the weekly and/or bi-weekly payroll processing and/or holiday processing schedule requirements;A genuine interest in the performing arts and considering the arts as having value to our society is aligned with our organizational values. Non-profit experience is a plus.

SALARY & BENEFITS

This is a full-time, exempt position and is not eligible for overtime. The salary range for this position is $67,000.00 to $70,000.00 per year with 100% paid medical benefits, including dental, vision and life insurance ($25,000) for the employee, paid vacation, personal and sick days, 401k and paid parking. Complimentary tickets are occasionally available for performances and events at The Wallis.
