The Santa Barbara Zoo is seeking a temporary Office Assistant

Position Status:

Part-Time, Temporary, Hourly, Non-Exempt Schedule:

SUMMARY:

Under general direction and supervision of the Director of HR, and HR & Administrative Associate, the Office Assistant performs clerical tasks, works on various assigned projects, preparing documents, organizing files, scanning, typing or word processing, managing existing documents, and keeping the office organized, tidy, and running smoothly

The role requires someone who can work efficiently with minimal supervision, while contributing to the overall success of our administrative functions.

ESSENTIAL DUTIES:File Management & Organization:Sort, file, and organize employee records, departmental documents, and confidential information following established protocolsPerforms clerical and administrative duties: maintains and organizes HR employee files and records, documents; photocopy, fax, scan, etc. as neededEnsure all files are properly labeled, cataloged, and easily accessible for future useMaintain accurate digital and physical records through data entry and document scanningOffice Operations:

Assist with administrative tasks as needed, including data entry, updating databases, and filing correspondenceSupport Admin & HR staff with special projects related to compliance, employee onboarding, and policy updatesCollaborate with team members to name scanned documents, improve document storage and retrieval systemsMaintain confidentialityAdheres to the Zoo's policies and procedures as outlined in the Employee Policy ManualApplies and exemplifies "green" (sustainable) practices whenever possibleSECONDARY DUTIES:

Provides assistance where help is needed, as assignedGuest Relations

Greets every guest with a smileThanks guests for supporting and visiting the ZooAnswers phone calls, voice mails, and e-mails promptlyEnsures the Zoo's presentation standards for cleanliness and maintenance are met by keeping work area clean, picking up trash, and reporting unsafe or unsightly conditionsAssociates with guests to share information and assistResponds to all guest inquiries, complaints, and comments according to Zoo guest relations proceduresMaintains a professional appearance and adheres to the Zoo's uniform dress codeTakes responsibility to stay informed about happenings at the Zoo such as reading employee communications and attending meetingsReflects the qualities outlined in the Guest Relations Statement, the Zoo's Core Values, and the Employee PledgePOSITION CRITERIA:

Education and Experience:

High school diploma or equivalent required; pursuing or holding a degree in Business, Human Resources, or related field is a plusPrior experience in office environment or administrative functionsLicense, Certification, or Preferred Qualifications:

Prior experience with office responsibilities, experience in customer service, or related fieldProficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendarsValid driver's license with good driving record is desirableSuccessful completion of a Department of Justice background checkKnowledge, Skills and Ability:

Strong organizational skills and keen attention to detailAbility to handle confidential and sensitive information with discretionProficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with document management systemsKnowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminologyEffective communication skills and ability to work independentlyKnowledge of principles and processes for providing customer and personal services.
