10/15/2020SummaryUnder the direction of the Landlord Relations and Engagement Manager, the Property Coordinator will be responsible for research and development of viable housing stock list. S/he will provide linkages to private owners, landlords, and property management companies in Southern California. This position will build relationships with property owners, conduct pre-inspection, and gather required paperwork for financial request submissions to Special Service for Groups (SSG) Fiscal Department.Key ResponsibilitiesEstablish a housing network by developing links with landlords and property management companies and investors.Act as the point of contact for landlords.Coordinate move-related tasks such as lease signing, utilities, property walkthrough, ordering furniture, scheduling services, and security.Create and manage available rental units (housing stock).Develop partnerships with landlords and property management companies to prioritize HOPICS Rapid Re-Housing tenant referrals.Coordinate with program management and case managers about tenants/clients.Maintain accurate documentation of service to clients in HMIS/Clarity.Outreach and develop working relationships with investors and developers.Canvas or survey new potential properties and assist with leading master lease negotiations.Inspect and prepare rental comparables for new prospective properties.Collect rent and other property fees from tenants, issuing reminders or escalating when appropriate.Coordinate the eviction process when necessary.Inspect properties and coordinate any maintenance or repairs that must be completed.Oversee contracts for maintenance, trash removal, landscaping, security, and other ongoing services, managing disputes with these service providers where appropriate.Review security camera footage and coordinate with security personnel as necessary.Arrange for utility, water, sewer, trash, and other services to be opened in the name of the agency, SSG HOPICS.Investigate and resolve property complaints and rental violations.Respond to and address emergency property maintenance matters after hours or on weekends.Prepare financial requests for expenses on properties master leased or owned by the agency.Prepare reports of financial status, occupancy, expiring leases, etc., and maintain related databases with funding requirements.Reconcile with SSG’s fiscal Department to account for all monies collected.Coordinate unit viewings/showings of available units or properties.Review and prepare all lease agreements/contracts for accuracy and maintain related databases.Participate in all mandatory program and division meetings and trainings as assigned.Maintain appropriate boundaries and adhere to SSG’s Code of Ethics and HOPICS’ Core Values.Represent the Agency in a professional manner at meetings and community events.Regular attendance required.Other duties as needed.Minimum Qualifications - Knowledge, Skills, and Abilities Required:Bachelor's degree in human services, business, marketing, communications, administration, or related fields with a minimum of three (3) years of job-related experience in housing placement services and relationship building with landlords and property owners, or six (6) years of experience working in the social service field, housing placement, and developing housing networks.Working knowledge of Microsoft Word, Excel, and other database programs. Accurate and concise documentation is required.Attention to detail and punctuality required. Ability to communicate effectively, both written and orally.Verification of Employment Eligibility and Background Clearance. TB test required not more than three (3) months prior to or seven (7) days after the date of hire, and renewed annually thereafter.CPR and First Aid Certification required within 30 days of employment, along with a valid Driver’s License and auto insurance. Reliable transportation is required.Experience working with homeless families and children, as well as experience with placing homeless families into permanent housing.Pre-employment COVID-19 test (Negative) required within 96 hours prior to the start date.COVID-19 Vaccination Required:

All new staff are required to be fully COVID-19 vaccinated and submit vaccination records to the HR Department during new hire orientation.Supervisory Responsibilities:

This position does not have any supervisory responsibilities.Environmental Conditions (Working Condition):

Half the work week is spent outside of the office, in the field. Automobile travel is required. May be exposed to highly aggressive clients; must communicate with many sources including public paying agencies, courts, and outside community agencies. Some evenings and weekends may be required. Sometimes noisy, loud, and disruptive clients.Physical Requirements:

The Property Coordinator typically spends time sitting, standing, typing, thinking, writing, driving, carrying (max. 25 lbs.), listening, and speaking.Mental Requirements:
