SUMMARY This position provides critical services to the Shelter Services Network, Community Programs for Social Justice, Career & Economic Development, and Affordable Housing Development & Programming groups by overseeing data quality, data analysis (qualitative and quantitative) and timely reporting for various funding streams. The information that this employee compiles on data accuracy, service outputs, service outcomes, and spending tracking is a major tool to streamline the efficiency and effectiveness of all programs and to ensure contract compliance. The job requires excellent time management and organizational skills and the ability to work independently because most activities need to be completed on a specific schedule, but also the flexibility to respond to requests for information or action with a short turnaround time. DUTIES & RESPONSIBILITIES Essential Provide training and technical assistance to Our Just Future direct service staff in entering accurate and timely data into HMIS, ETO, and other databases required by program funders or operations. Serve as primary ETO database administrator, including serve as liaison with Bonterra, and work with supervisors to develop custom reports and monitor staff efforts. Attend database trainings as required to stay up to date with any changes Lead efforts towards becoming a paperless agency by creating or uploading existing forms Perform data analysis, and data mining to identify challenges in opportunities to advance program development Translate data findings into clear, actionable recommendations. Assuring all dashboards and reports developed contain sufficient information (data sources used, terminology, considerations/limitations), such that stakeholders can leverage them with confidence. Manage data and reporting for multiple programs, internally and with partner agencies. Troubleshoot internally and with partner agencies regarding issues related to operating programs successfully. Work with Quality Assurance & Analysis when advocates are not keeping up with data entry or data quality responsibilities. Maintain confidentiality regarding supervision issues. Assist in compiling, tracking, and writing required outputs and outcomes, billings, and reports for funders. Reconcile Housing First, Supportive Community Programs, Shelter Services Network, and Career & Economic Development spending monthly with the Quality Assurance & Analysis Team. Investigate inconsistencies and facilitate communication when discrepancies arise. Data entry into HMIS for select programs. Assist with coordinating the annual or quarterly reporting in HMIS, SAGE, and ZoomGrants. Help the Quality Assurance & Analysis Team coordinate and create systems for reporting and tracking program results. Format and report program results monthly, quarterly, annually, and as needed to Our Just Future Board of Directors, Communications & Fundraising Group, and others. Work with the Finance team to ensure the accuracy of billings for client assistance program funding streams. Secondary Reconcile Housing First, Supportive Community Programs, Shelter Services Network, and Career & Economic Development spending monthly with the Quality Assurance & Analysis Team. Investigate inconsistencies and facilitate communication when discrepancies arise. Work with the Finance team to ensure the accuracy of billings for client assistance program funding streams. Data entry into HMIS for select programs. Assist with coordinating the annual or quarterly reporting in HMIS, SAGE, and ZoomGrants. Assist in compiling, tracking, and writing required outputs and outcomes, billings, and reports for funders. Report out OJF programs data analysis results to interested parties internally and externally Coordinate with Data Quality and Reporting Coordinator to ensure that the agency is HMIS (Homeless Management Information System) compliant. Train new staff on spenddowns, common data on the Community Programs Drive, and HMIS training in coordination with JOHS. Assess common agency needs or inaccuracies and develop and implement training tools to address those needs. Provide back-up to the QA&A team members when there is an absence Assist with any QA&A responsibilities as needed during critical periods. Attend and participate in scheduled Group, Team, and All Staff meetings. Other duties as assigned. QUALIFICATIONS The successful candidate must be able to satisfactorily perform each essential duty. The requirements listed below are representative of the knowledge and abilities required. Knowledge of: Systems and development of systems to record and report program data. A minimum of one year's experience working with database administration and data analysis both qualitative and quantitative Knowledge of Social Services programs. Social and economic issues which create poverty, working successfully with practices and techniques related to people with low income to achieve greater self-sufficiency. Ability to: Use (or learn) SAP Business Objects Present and speak to data findings in person to groups of stakeholders Ability to assess database for best practices and performance Accurately compile, analyze and interpret data. Prepare reports for funders in a timely and accurate manner. Train staff effectively Work cooperatively with all staff, interns, and volunteers. Develop and maintain productive working relationships within Our Just Future and with public and private agencies. Be culturally sensitive to diverse people seeking, receiving, and delivering services. Prepare and maintain clear, accurate, complete, and timely records and reports using Microsoft Word, Excel, and other programs as funders require. Administer the ETO internal database and create original reports for program managers. Represent Our Just Future at inter-agency and funder meetings as requested by the supervisor. Maintain professional boundaries with all persons served. Communicate effectively, clearly, responsively and in a trauma informed manner verbally as well as in all correspondence Understand and follow complex written and oral instructions, rules, and procedures; work independently and be a vital and contributing part of a team. EDUCATION and/or EXPERIENCE Any combination of education and work experience in social services or data quality and reporting totaling two years. A minimum of one years' experience working with data analysis and data systems. High-level MS Office Suite skills and willingness to learn other computer skills. Excellent mathematical and reasoning skills. LANGUAGE SKILLS Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from managers, clients, customers, and the general public. MATHEMATICAL SKILLS Ability to calculate figures and amounts such as proportions and percentages. Ability to apply concepts of basic algebra and geometry. REASONING ABILITY Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret various technical instructions in written, mathematical, or diagram form and deal with several abstract and concrete variables. TRANSPORTATION Reliable transportation is required. If the main source of transportation for the applicant is motor vehicle, the successful applicant needs a reliable automobile, current Driver's License and current automobile insurance carrying 100/300 limits of liability.
