We have a great opportunity for a Document Specialist (Microsoft Office certified) for our global law firm client.
This position can be based in their New York, San Francisco, Washington, DC, Seattle or Los Angeles offices.
The qualified candidate will be responsible for providing support to firm personnel and its clients. They will observe firm policies, confidentiality of firm matters, follow established best practice guidelines, and maintain positive interaction with all personnel.
What You'll Do:
Operate within the Business Center to support users with projects while applying firm core software applications (Microsoft Office Suite, iManage, Payne Forms & Numbering Assistant) and specialized applications (Visio, Photoshop, Adobe Acrobat, Best Authority, Equation Editor, Smartsheet, Contract Companion, DocXTools).Operate standard office equipment including computers, scanners, transcription machines, printers, and telephones.Responsible for creating, editing, typing, and formatting a range of firm-wide documents (for practice groups and administrative teams), presentations, spreadsheets, schematics, charts, etc.Knowledge of the format, organization, and composition of business letters, reports, corporate documents (minutes, agreements, forms, etc.), litigation documents (pleadings, discovery, summaries, etc.).Convert documents from various formats to Word, Excel, PowerPoint, Visio and format according to client's specifications and/or the Business Center's best practices.Preparation and format Table of Contents and Table of Authorities (Best Authority).Execute defined terms checks and automate cross-referencing in large documents or briefs (Contract Companion).Use Business Center's internal workflow tool to self-assign and manage projects from acceptance to timely completion.Assist Business Centers Lead or Manager(s) in coordinating work by helping to determine priorities and explaining client work needs to ensure all deadlines and requests are met.Assist Business Center Manager in identifying training opportunities for team; create training materials and present topic; assist as subject matter expert to colleagues whenever needed.Attend Firm training classes to develop proficiency in all firm applications (existing or new).Provide back-up support to the Training Department & Business Center Hotlines by troubleshooting callers' needs for document or technical inquiries.Assist with new hire onboarding, mentoring, or training.What You'll Bring:

through the Microsoft Office Certification Program to perform requisite tasks essential to the position, including expert knowledge of Workshare Compare, Microsoft Word, Excel, PowerPoint, Visio, Acrobat, and Outlook.Ability to prioritize work and complete within deadline driven time constraints. Must be flexible, organized, able to work under pressure with a calm, pleasant demeanor.Ability to proofread typed material for grammatical, typographical, and spelling errors.Ability to decipher handwritten revisions, drawings, and diagrams.Ability to type standard correspondence, pleadings, memoranda, and similar material in draft or final form from written or dictated material.Strong understanding of litigation pleading formats, Table of Contents and Table of Authorities.Demonstrated proficiency with imaging and database technology with the ability to adapt to and learn advanced technology and emerging software.Proficiency in handling complex and challenging assignments.Strong Interpersonal skills necessary to communicate and follow instructions effectively from a diverse group of users (internal and external); ability to provide information with courtesy and tact; must be a team player.Organized self-starter with strong customer service skills and outstanding oral and written communication skills.Excellent work ethic and strong teamwork skills in a high volume, self-directed environment.Demonstrated capacity to handle high volume document production.Familiarization with basic graphics and picture manipulation, including resizing, copying, and pasting functions.Ability and capacity to travel to off-site locations, as needed.Available for occasional overtime due to project and scheduling demands.
