Who We’re Looking For:We seek a talented, highly motivated executive assistant for the president and CEO. This role will serve as the primary point of contact and gatekeeper, ensuring the smooth operation of the CEO’s office. The person will require high professionalism, discretion, and critical thinking. They will handle highly sensitive information, manage multiple complex projects, and communicate with internal and external stakeholders on the CEO’s behalf. Salary is $80,000-$90,000.The ideal candidate will be proactive, strategic, and able to prioritize effectively in a fast-paced environment.
What You’ll Do:Manage the CEO’s complex calendar and schedule, including meetings, appointments, and travel arrangements.Draft, edit, and proofread correspondence on behalf of the CEO and handle all communication (email, calls, messages).Prepare detailed agendas, briefing materials, and presentations for meetings.Ensure the CEO is well prepared for meetings, including conducting necessary research and summarizing key points.Serve as a liaison between the CEO and executive team, board members, and external stakeholders.Take the lead on special projects as assigned by the CEO, coordinating with cross-functional teams to ensure timely delivery.Coordinate all travel logistics for the CEO, ensuring smooth execution of both domestic and international trips. Prepare detailed travel itineraries, including arranging accommodations, transportation, and ensuring all necessary documentation is secured.The Must-Haves:Confidentiality and discretion while handling sensitive information. Acting as a trusted advisor to the CEO.Able to oversee and manage all administrative tasks related to the CEO’s office.Able to anticipate the CEO’s needs, managing time and priorities effectively to ensure maximum productivity.Clear, concise written and oral communications.High level of emotional intelligence and the ability to manage relationships diplomatically.Extreme attention to detail, with a focus on delivering high-quality work under tight deadlines.Ability to work independently and as part of a team, managing multiple projects.Bachelor’s degree.Minimum of 3 years relevant work experience.
