Lawrence Berkeley National Lab's (LBNL) Energy Sciences Area (ESA) Office has an opening for a Sr. Administrator to join the team and provide a comprehensive range of specialized executive-level complex support to the Associate Lab Director. The role includes managing complex calendars, coordinating communications, handling sensitive projects, and ensuring the timely preparation of meeting materials. The Sr. Administrator will interact diplomatically with various high-profile organizations, manage travel logistics, and support research projects, demonstrating a high level of independent judgment and discretion.

What You Will Do:
  • Independently manage the ALD's complex and rapidly changing calendar.
  • Prioritize, schedule, and reschedule meetings and presentations with tact and diplomacy.
  • Build strategic relationships with LBNL, Department of Energy (DOE), University of California, and other high-profile organizations.
  • Interact diplomatically with all levels of internal and external organizations.
  • Ensure the accurate and timely preparation, distribution, and archiving of meeting materials.
  • Manage and track the ALD's multiple commitments, prioritizing attendance at critical meetings.
  • Triage incoming requests, including approvals, manuscript reviews, and letters of recommendation, and calendar the appropriate work time for the ALD.
  • Organize and resolve outstanding deliverables.
  • Provide domestic and international travel support, including cost estimation, itinerary booking, travel authorizations, visa assistance, and expense reports.
  • Support the ALD's research projects and groups, including travel and procurement, student and postdoc appointments, and financial planning.
  • Update the ALD's biosketch, CV, publications list, collaborators list, and more.
  • Establish priorities and manage multiple projects, recommending appropriate actions.
  • Compose, edit, and review business correspondence and technical materials.
  • Maintain electronic and paper files.
  • Provide logistical support for Area-wide events and programs.
  • Provide back-up administrative support for Area Office Senior Administrator.


What is Required:
  • BA/BS degree and/or 4+ years related experience or an equivalent combination of education and
  • Experience in independently providing executive support for a wide range of functions to senior-level management in a large/complex department or division.
  • Demonstrated experience handling sensitive and confidential information with discretion and diplomacy.
  • Demonstrated experience and flexibility as a team player, either as a team lead or a team member.
  • Ability to work in a hybrid or fully onsite environment.
  • Ability to work well, stay focused and prioritize tasks in a fast paced environment with a variety of interruptions and distractions.
  • Ability to proactively understand, anticipate and confirm customer needs, engage in active listening and provide excellent customer service.
  • Excellent demonstrated ability to research and creatively recommend appropriate courses of action to address issues.
  • Strong attention to detail and reliable follow-through.
  • Strong interpersonal skills, with the ability to interact productively and professionally with a broad range of personnel both internal and external to the Lab.
  • Advanced knowledge using Microsoft Office Suite (Excel, Word, PowerPoint), Adobe Acrobat, Google collaborative tools such as Google Mail, Google Calendar, Google Docs, Google Sites, and Google Drive, and Smartsheet.
  • Advanced knowledge with cloud and web-based audio/video collaboration tools such as Zoom and Microsoft Teams and ability to learn new technologies/software.
  • Excellent time-management and task-management skills.
  • Excellent written and verbal communications skills.


Desired Qualifications:
  • Experience working with scientific staff, technical staff, and people from diverse geographic backgrounds.
  • Demonstrated experience and discretion when interacting with a variety of individuals and organizations, including Lab Management, DOE, and subcontractors.
  • Knowledge of DOE, LBNL, and UC policies and procedures as well as administrative and business practices and procedures.


Notes:
  • This is a full-time career appointment, exempt (monthly paid) from overtime pay.
  • This position is expected to pay $83,568.00 - $104,460.00, which fits within the full salary range of $83,568.00 - $141,012.00, for the A40.3 job classification. Salary for this position will be commensurate with the final candidate's qualification and experience, including skills, knowledge, relevant education, certifications, and aligned with the internal peer group.
  • This position may be subject to a background check. Any convictions will be evaluated to

  • This position is eligible for a hybrid work schedule. This position is expected to work 4 days per week onsite. Additional onsite days may be required depending on business needs. Individuals working a hybrid schedule must reside within 150 miles of Berkeley Lab.
