We are seeking an
International Events Director (Casual)
who will contribute to managing event, programmatic, and logistic support for the International Conference on Family Planning (ICFP) and additional Institute events focused on family planning, reproductive health, population dynamics, and gender equity.
This Events Planner will provide key support to the Institute’s Director and Senior Program Officer II. Strong communication skills, cultural competency, keen attention to detail, and event planning experience are all essential for this position.
This role will play an integral part in the successful planning and execution of ICFP communications and events, culminating in a 5,000-person, hybrid scientific conference in November 2025 in Latin America.
Specific Duties & Responsibilities
Event Planning and Coordination
Develop comprehensive event plans and timelines for Institute events.
Coordinate with internal stakeholders and international partners to define event objectives and requirements.
Identify and secure venues, negotiate contracts, and manage vendor relationships.
Assist with travel and logistics for event participation.
Logistics Management
Assist with logistical elements, including transportation, accommodation, catering, and technical equipment.
Manage on-site event setup, execution, and teardown.
Foster a collaborative team environment across different cultures.
Client and Stakeholder Relations
Serve as a point of contact for logistics for partners and attendees.
Ensure clear communication throughout the event planning process.
Budget Management
Ensure events are executed within budget while considering international financial implications.
Identify opportunities for cost savings without compromising quality.
Marketing and Promotion
Collaborate with the communications team to develop promotional strategies targeting an international audience.
Track and analyze the effectiveness of promotional activities.
Pre-, During-, and Post-event Evaluation
Create surveys and conduct event evaluations.
Assist in the preparation of comprehensive post-event reports.
Communications
Assist with compiling materials for reports and documents.
Coordinate collaboration with partners to promote their activities.
Minimum Qualifications
Bachelor's Degree.
Two years related experience.
Additional education may substitute for experience.
Preferred Qualifications
Five to Eight years of experience with complex, highly confidential issues.
Previous work experience in a college and/or nonprofit environment preferred.
Salary Range:
$22.21 - $38.84 HRLY (Commensurate with experience)
