Essential Duties and Responsibilities

Achieve/maintain occupancy levels per SSA policy.

Set up prospective residents in Yardi.

Respond to all inquiries as soon as possible and maintain lead tracking in Yardi on a daily basis.

Spend appropriate time on each inquiry, to answer questions and follow up as necessary to assure all potential residents, family members and referral sources have the necessary information to make well-informed decisions about the community.

Provide responsible party(ies) with the move-in packet with necessary forms for move-in including the financial worksheet and resident application forms. Communicate any special resident requests or needs with Executive Director and Director of Wellness.

Coordinate and collect reservation and/or move-in fee and first month’s rent payment and give to the Business Office Manager or appropriate person as assigned by the Executive Director.

Coordinate new resident needs with appropriate community staff members.

Share the “Meet Our Staff” handout with the resident so the resident and family knows who to contact with questions and concerns. Create an easy transition for the resident from marketing to operations staff.

Prepare and implement marketing plan in accordance with SSA guidelines, identifying key tasks and activities that will result in creating awareness of the community’s services and amenities.

Focus on marketing and income producing activities that directly impact occupancy, avoiding involvement with daily operations functions. Redirect operational issues to the Executive Director for resolution.

Conduct outreach calls as required by SSA Policies & Procedures; requirements may be adjusted by SSA management.

Maintain ongoing relations with key community referral sources that produce leads and move-ins.

Maintains a “Primary Resource Program” for elder housing information. Accumulates a data bank of community resources so referral sources consider our community the “First Call Option” whenever a question concerning elder housing arises.

Accomplishes marketing and occupancy related reports as directed by the Executive Director. Analyzes, develops and communicates marketing techniques or programs that may be effective in local marketplace to Executive Director and SSA Management team.

Complete competitive analysis at least twice per year, identifying pricing and services being provided in the market, as well as incentives or promotional trends.

Prepares and maintains appropriate statistical data recapping both occupancy and inquiry historic trends to assist Executive Director and SSA Management in the development of the community operating budget.

In coordination with the Executive Director, trains and develops staff to be supportive of community marketing efforts and engage in the marketing process.

Provide marketing related training (telephone skills, inquiry sheet, tour guide, etc) for the entire staff, at least once each month.

Prioritizes vacant apartment renovation with the community maintenance supervisor. Maintains and updates a Community Tour Book identifying available apartments and rental information.

Maintain working knowledge of fire and disaster plans and responsibilities under emergency conditions.

Performs other duties as assigned.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Must satisfy all state health, licensure/certification, and background requirements.

Education/Experience: Bachelor’s Degree in Marketing, Business, or related field, plus 3-5 years of experience (preferably working with the elderly or in healthcare or housing), or equivalent combination of education and experience.

Certificates and Licenses: Must meet any licensing requirements in state(s) of practice.

Communication Skills: Receive and carry out verbal or written instruction. Communicate effectively in person, over the phone, or via email with customers and co-workers. Write and proofread routine correspondence and reports with appropriate grammar and spelling. Make group presentations to share information or explain policies and procedures.

Organization/Self-Management Skills: Perform a variety of duties, moving between tasks of differing nature, with occasional distractions and interruptions. Prioritize competing requirements to complete work in a timely manner when there are changes to workload and assignments. Work independently and follow through on assignments with minimal direction.

Computer Skills: Proficiency with computers, Windows operating system, and Microsoft Office Suite.

Physical Demands and Work Environment

The Physical Demands and Work Environment described below represent the activities and surroundings of the position. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Physical Demands: Must be able to remain in a stationary position at least 25% of the time. Constantly operates a computer with extensive keyboard typing, and routinely uses other office machinery such as a telephone and printer/copier/scanner. Frequently moves around the community to lead tours of prospective residents and/or family or community members. Occasionally required to bend or twist to reach items and lift and/or carry items weighing up to 25 pounds. Frequently communicates with others to exchange information in person, over the phone, and via email, and must be capable of effective communication in these situations.

Work Environment: This position is most frequently situated in a climate-controlled office environment, with a moderate noise level consisting of typical office sounds. However, routine visits around the community can lead to exposure to moving mechanical parts, fumes or airborne particles, toxic or caustic chemicals, extreme cold (non-weather), extreme heat (non-weather), and/or vibration. In certain circumstances, a staff member may be exposed to communicable diseases and infections, other biological hazards, and various drugs and chemicals. Due to these potential hazardous exposures, you may be required to wear Personal Protective Equipment (PPE) in addition to universal precautions. PPE could include, but is not limited to, gloves, gowns, masks, respirators, and goggles.

Travel

Up to 40% local travel required.

This position is responsible for responding to and following up with all inquiries, tracking and maintaining accurate records for all leads, as well as establishing and maintaining referral sources and networking opportunities. The primary goal of this role is to be successful with sales closing resulting in new move-ins to increase and/or maintain budgeted occupancy. As our Sales and Marketing Director, you must demonstrate leadership among team members and ensure a smooth move-in process for all new residents.

This is a salary position with commission based compensation on top of the salary base pay.
