With an emphasis on service, a Senior Community Manager is organized and articulate and consistently puts the customer first.The Senior Community Manager must build longstanding relationships with multiple Boards of Directors to assist in the development of goals for each Homeowner’s Association and support the Boards in deploying the right strategic plans to meet those goals. All major community projects and issues will be managed by the Senior Community Manager.The Senior Community Manager is equipped with industry expertise and comprehensive knowledge of management practices, accounting procedures, personnel practices, Association CC&Rs and Bylaws, inventory and procurement, and contract relations. This position involves managing several different accounts during attrition, transition, and/or account set up, and working with various department representatives throughout the company to ensure all tasks and projects are completed to meet the clients' needs. Prior management experience as a portfolio manager is required, and candidates must hold a CCAM designation or CMCA/AMS designations.Essential Duties and Responsibilities:Ensure compliance with all Civil Code, State and City statutes and ordinances, and legal document requirements.Manage relations with Board of Directors, Committee Members, and Community Members; coordinate, attend, and oversee all client meetings.Create agendas for Board and Committee meetings and packets in accordance with company procedures; responsible for all Board meeting follow-up, meeting minutes, and correspondence.Assist in the preparation and distribution of information materials regarding the rules and policies of the Association to new owners.Schedule, coordinate, and monitor the activities of contractors, vendors, or service providers working in the Association’s common areas.Devise, prepare, and implement a system to receive and respond to homeowner maintenance requests.Conduct routine site inspections and provide recommendations to the Board.Responsible for association fiscal management including financial statement review and comprehension.Coordinate with the accounting department on billing, collection, budget, taxes, audit, and financial statement preparation.Advise the Board about the Association’s current budget and report any deficiencies.Monitor and report homeowner assessment delinquencies and oversee collection efforts.Manage payments and receipts for the association; authorize payment of invoices and report discrepancies.Manage bid processes by obtaining competitive bids for work exceeding authorized limits.Educate association Board Members on changes to legislation affecting their association.Manage deadlines and update the association’s annual calendar.Manage association insurance coverage and needs.Manage and submit all charge-backs to associations monthly.Manage litigation needs and provide status reports to the Board.Manage Association vendors and ensure performance of contract scope of work.Oversee and process homeowner violations.Coordinate the annual meeting/election process.Maintain all association files in accordance with company standards.Utilize company support staff efficiently.Maintain a chronological file of all duly adopted meeting minutes and resolutions.Maintain a current roster of unit owners and tenants.Submit contract obligations for Board ratification.Supervise and train personnel working on behalf of the Association.Implement Board policy and enforce governing documents.Attend and exhibit leadership at industry functions.Must have reliable transportation and be able to drive to association clients and meetings.Manage special projects.Knowledge, Skills, and Experience:3+ years of experience in managing homeowners’ associations or related fields.1+ years of supervisory experience across multiple locations.Excellent customer service and relationship-building skills.Comprehensive knowledge of management practices, accounting procedures, and Association CC&Rs and Bylaws.Effective communication skills with the ability to draft and present in Board meetings.Collaborative decision-making and problem-solving skills.Strong analytical and creative thinking skills.Experience with project management and budget management.Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.Ability to read and explain financial statements and budgets.Demonstrate strong organizational skills and time management abilities.Integrity and honesty in interactions with clients and team members.Must be able to attend evening meetings as required.New Development experience preferred.Must be able to be on-call if needed.Perform all other duties as business needs dictate.Minimum Education:High School Diploma or equivalent required; Bachelor’s degree preferred.CCAM designation or CMCA and AMS designations desired.License/Permits/Certifications Required:Valid Driver’s License and State-mandated vehicle insurance.CCAM preferred; CCAM will be required within one year of employment.Language Skills:The individual must have strong written communication skills and the ability to communicate effectively with employees and clients at all levels.Work Environment:The work environment is a typical office building.
