POSITION SUMMARY/PURPOSE OF POSITION:
The Administrative Assistant independently carries out advanced and diversified administrative tasks and responsibilities to support Plant Manager, Operations and management teams.
ESSENTIAL JOB DUTIES
Answers and manages incoming callsReceives and interacts with visitorsTakes and distributes accurate messagesAssists with visitor pictures and is responsible for VRS (Visitors Registration System)Assists in the development and creation of customer presentationsHelps develop and create professional tools including spreadsheets, correspondence and reportsWorks on projects with teams or as project lead or facilitator and contributes in the determination, investigation and application of best practice methods to resolve business administration issues of a complex natureAssists with event planning and implementationCoordinates and consolidates meeting input information and presentation materialGathers, reviews, researches and summarizes or analyzes information.Provides training, guidance and advice to others as requiredType documents, reports and correspondenceConducts research, collects and analyzes data to prepare reports and documentsManages and maintains schedules, appointments and travel arrangementsArranges and co-ordinates meetings and eventsMaintains internal website and posts employee communicationsLiaises with internal staff at all levels and coordinates work with support of other internal teamsReviews operating practices and implements improvements where necessaryOTHER JOB DUTIES
Payroll and Time & AttendanceMonitors and maintains office supplies.Performs work-related errands as requested such as going to get suppliesFaxes, scans and copies documents.Prepares and edits correspondence, communications, presentations and other documents.Files and retrieves documents and reference materials.Coordinates messenger and courier service.Receives, sorts and distributes incoming mail.Prepares outgoing mail for distribution.Maintains office filing and storage systems.REQUIREMENTS:
Generally requires minimum of 5 years' relevant experience.Advanced experience in Excel, Word, and PowerPoint is essential.Excellent communication and interpersonal skills.High degree of professionalism.Ability to work well independently and as part of a team.Excellent customer service skills.Organization and planning skills.Verbal and written communication skills.Problem solving ability.Superior attention to detail and accuracy.Flexibility and reliability.Generally requires post-secondary business diploma.
