The Opportunity:

The Corporate Safety Administrative Assistant is responsible for the administrative functions of the safety department and provide clerical support for the Corporate Director of Safety, the safety team, and the SME organization.

Responsibilities:

SME Vehicle Monitoring SystemsSystem includes but not limited to: Amerisure Fleet Alliance and GPS Insights.Distribute notifications, as necessary. Follow up with supervisors for required action responses.Generates compliance reports for field and corporate team, as necessary.

Personal Protective Equipment

Ordering and distribution of PPE.Pack new hire PPE bags.Coordinate with vendor.

First Aid Kits

Ensure Plymouth office first aid stations are properly stocked. Coordinate with vendor.Coordinate/Distribute first aid kits / supplies for SME fleet vehicles.

Safety Training Programs

Coordinate/Schedule employee safety training.Issue safety training cards where applicable.Update and maintain employee training logs/data bases. Digitize training documents.Distribute Safety Alerts, Tailgate Talks, and Special Notifications.Provide monthly safety training topics to the field.Generate compliance reports for field and corporate team as necessary.

RFP and Client Compliance

Maintain required client portals (ISN, Avetta, Veriforce, etc.)Assisting with national and large client RFP responsesAssembling Site Specific Safety Policies (SSSP) as needed

Medical Monitoring

Schedule new hire and annual physicals/medical review where applicable.Partner with HR when necessary.Generate compliance reports for field and corporate team, as necessary.

Safety Document Management

Using document control methods, maintain documents on appropriate files servers and repositories.Revise/edit documents as assigned or apparent.

Support Safety Calls/Meetings. Primary Responsibilities:

Manage invitation list, confirming responses, prepare meeting minutes, and tracking attendance.

Other projects and tasks:

Proactively develop relationships with key internal/external client contacts, gaining recognition as a team resource.Utilize core technology applications, including Microsoft Word, Excel, PowerPoint, etc.Perform other job-related duties as assigned or apparent.

Requirements:

Competency using computer operating systems and current MS Office Suite programs (Word, Excel, Outlook, Teams, and PowerPoint).Experience in an administrative office role.Excellent proofreading skills related to word usage, flow, and punctuation.Excited to learn new programs/processes/technology and grow professionally.Comfortable communicating via phone, text, email, and Microsoft Teams video calls.Ability to understand and adapt to change and react productively to frequent interruptions and changing conditions. Also, able to independently focus and work on deliverables requiring ~1-2 hours of dedication.Ability to work independently and as a part of a team.Ability to reprioritize throughout the day as urgent needs arise.Comfortable meeting tight deadlines and adapting to changing project needs with little to no notice.Willing to work occasional overtime, weekends, and travel overnight (rare) to meet the needs of our clients.Experience in processing confidential information and understanding privacy laws and Company policy governing employee information.Constant operation of a computer and other office productivity machinery, such as calculator, photocopier, and computer printerPosition is sedentary; must be able to remain in a stationary position for most of the time.SME's Core Values:
