The academic division is a creative, nurturing environment for students of diverse backgrounds to pursue a variety of educational pathways. The Senior Secretary coordinates operations related to support for all division faculty, students, as well as supporting the Administrative Assistant 4 (AA4) and administrative leadership including the Deans on division projects, research, etc. This position performs assignments and projects of a complex nature such as independently planning, organizing, and prioritizing work; modifying and/or maintaining electronic databases and office record-keeping systems; establishing office procedures, standards, priorities and deadlines; and coordinating office operations. In collaboration with the supervisor and using complex technical office skills, this position coordinates office operations for the faculty supervised by the designated deans. This position performs assignments of a complex nature such as independently planning, organizing, and prioritizing work; modifying and/or maintaining database management, office record-keeping, or filing systems; establishing office procedures, standards, priorities, and deadlines; and coordinating office operations. The Senior Secretary is responsible for work in the areas of budget tracking, faculty evaluation report tracking, taking minutes, ordering supplies, supporting compilation of Appointment Review Committee (ARC) reports, and providing direct support to division faculty and students, and supporting the Admin Asst 4 and the Deans on division projects, research, etc.

Primary responsibilities include the following:

Direct students to appropriate resources such as enrollment services, advising, faculty, administrators, classrooms/labs and formsMaintain, monitor, and evaluate department budgets within the College's online management system (PeopleSoft)Prepare and assist Business/Communication/Social Science (BCSS) and Humanities/Transitional Studies (HUMTS) faculty with invoice payment vouchers, purchase requisitions and travel paperworkSupport compilation of tenure reports, maintain faculty office hour rosters, notify students of class changes, maintain division files, grades, and syllabiAssist with faculty onboarding, office space, and equipment needsPurchase office supplies, monitor inventory, and prepare expenses paperwork for BCSS and HUMTS departmentsPrepare stipend paperworkTrack Faculty Evaluation Plans, teaching loads, and faculty status informationPrepare agendas, maintain advisory roster, schedule meetings and take minutes at division and other meetingsParticipate in relevant support committeesRespond to inquiries - in-person, email, phone, and troubleshootingTrain/mentor/supervise work study students, post work study positions, complete hourly hiring paperworkProvide office machine support for copier, networked printer, SCANTRON, and fax; maintain copy codes/countOther duties as assigned of a similar level/natureQualifications

Required Education & Experience:

High school graduate or equivalentTwo (2) years of office experience requiring keyboarding, Microsoft Office and working with the pubicKnowledge Of:Microsoft Office applications including Excel, Outlook, PowerPoint, Word, SharePoint and Teams as well as Zoom videoconferencing.Familiarity with, or ability to learn, Learning Management Systems (LMS) and online management systems (PeopleSoft/ctcLink).Skill In:Fostering a climate of equity and belonging through multicultural awareness and responsivenessTime management, organization, and ability to meet competing deadlines/prioritiesEntering and/or retrieving data accurately in computerized record keeping systemsHandling difficult and sensitive situations, using sound independent judgment within college & legal guidelinesEstablishing/maintaining effective working relationships at all organizational levelsAbility to work with a diverse group of students, staff, and the public in a friendly, courteous and helpful mannerConditions of Employment

Physical Work Environment:The College is currently providing services in a mixed modality of operations (both online and in-person services are offered). This position will perform work in a standard office setting, use standard office equipment and physically attend meetings both on and off campus. Please note, there may be limited opportunities for online work depending on program or area needs. If authorized for online work, employees will need to provide their own workspace and internet access, noting the College will provide technical equipment and support for online work needs.

Terms Of Employment/Salary:This position is allocated to pay range 35, under the Washington State Office of Financial Management higher education salary schedule. Salary placement for new employees is determined by the College. This position works 40 hours per week, with a schedule dependent upon department needs. Hiring of this position is contingent on available funding as determined by the College President.

Half time is determined based on each institution's definition of full time.A part time faculty member must qualify each quarter they teach to maintain eligibility.
