Learn more about the UC Office of the PresidentDEPARTMENT OVERVIEWThe University of California Office of the President operates an in-house temporary program called TOPS (Temporary Office of the President Staffing), which seeks skilled administrative professionals. TOPS employees provide temporary assistance to UCOP departments to complete special projects, fill in for employees on vacation or other leave, or provide coverage during open recruitment periods. Hourly rates and duties vary depending on the classification of positions. Assignments range in length from one month to two years, depending on vacancy/needs. The TOPS program is an excellent opportunity to gain valuable UC experience. We have been very fortunate to have several employees in the TOPS program eventually apply, interview, and get hired into career positions at UCOP!POSITION SUMMARYThis is a TEMPORARY position within our Temporary Office of the President Staffing (TOPS) program.KEY RESPONSIBILITIESWork with the Regents Office on a variety of matters, most significantly the calendaring and scheduling of RegentsAct as a liaison between Regents and senior administration (UCOP, chancellors, and Principal Officers) on behalf of the Secretary and Chief of Staff as requestedManage schedules, which includes complex calendaring, in addition to meeting and travel planningCoordinate meeting materials and other information from other departments and track to ensure completion with sufficient time for appropriate Regent(s) to review prior to meetingsProvide the status of scheduled meetings and phone calls, including the purpose and organizer of meetings or calls, agendas, etc.MINIMUM QUALIFICATIONS AND DUTIESBachelor's degreeExperience scheduling/managing complex calendars for multiple executivesStrong written and verbal communication skillsProfessionalism, confidentiality, and organization skillsPREFERRED QUALIFICATIONSFamiliarity with UC systems (Outlooks, Concur, Symmetry, and EMS)EDUCATIONBachelor's degree in related area and/or equivalent experience/training.SPECIAL CONDITIONSThis position is eligible for a hybrid work arrangement. The person hired will be required to reside within California and will be required to report to work onsite at UC's Office of the President (UCOP) located in Oakland, CA.SALARY AND BENEFITSThe University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs It is not typical for an individual to be offered a salary at or near the top of the salary grade for a position.
