Job Title: Administrative Assistant

Position Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to provide critical support to the leadership team and assist with the smooth operation of the office. This role requires an effective communicator who is diligent, cooperative, and responsive to the needs of the company, management, and clients. The Administrative Assistant must be able to work both independently and collaboratively, handling a variety of administrative tasks while maintaining a focus on customer service and attention to detail.

Essential Functions:Administrative Support:

Provide administrative assistance to the project team, ensuring tasks are completed accurately and efficiently.Team Coordination:

Manage and coordinate leadership team meeting schedules, agendas, and follow-ups.Document Support:

Prepare, edit, and organize documents, reports, and presentations. File and retrieve records as needed.Research:

Conduct research as directed and summarize findings for leadership review.Calendar Management:

Manage complex calendars, arrange meetings, appointments, and conference calls, and provide timely reminders.Travel Arrangements:

Coordinate travel logistics, including flights, hotel bookings, and ground transportation.Event Organization:

Organize office events, arrange catering, and fulfill other special requests.Customer Relations:

Address client inquiries and provide timely responses to emails and verbal requests.Project Management Support:

Assist with project setup and closeout using project management software (Procore).Contract Preparation:

Prepare AIA Owner Contracts, Exhibits, and Owner Change Orders (COs).Insurance Monitoring:

Collect and monitor Certificates of Insurance.Bid Coordination:

Contact trade partners to solicit bids.Office Upkeep:

Order and stock office and kitchen supplies.Ad-hoc Duties:

Perform other tasks as assigned.Education and/or Experience:

High school diploma required; undergraduate degree preferred.Proficiency with Microsoft Office Suite (Outlook, Excel, Word, etc.) required.Strong organizational skills and attention to detail.Ability to maintain confidentiality and use discretion appropriately.Skills and Attributes:

Excellent customer service and interpersonal skills.Strong verbal and written communication abilities.Ability to work effectively both independently and as part of a team.Professional demeanor and ability to manage multiple priorities in a fast-paced environment.Strong initiative and problem-solving skills.Physical Demands:

Primarily a sedentary role, with occasional filing and lifting of files required.Other Duties:
