The Opportunity:

The Trust Coordinator plays a pivotal role in providing direct administrative support to assigned Trust Advisors and a select group of Wealth Management Clients. Responsibilities encompass a range of administrative duties and client interactions, ensuring the smooth operation of trust administration processes.

Job Description:

Account Administration:

  • Assist in the administration of a designated group of accounts in accordance with their document terms.
  • Support Trustees in making administrative decisions pertaining to these accounts.

Client Support:

  • Aid Trust Advisors, Trustees, Lawyers, and Clients in managing both routine and non-routine transactions.
  • Tasks include client bill payments, account maintenance, scheduling, insurance matters, and other assigned duties.

Communication Management:

  • Respond promptly to internal and external client inquiries and requests of moderate complexity.
  • Screen and direct telephone calls and client inquiries to appropriate parties.
  • Coordinate email and voicemail messages as per Trust Advisor specifications.

Document Preparation:

  • Create, draft, edit, and revise various documents, including letters, memorandums, charts, and family trees, utilizing provided templates.

Meeting Coordination:

  • Coordinate and schedule internal and external client meetings, handling logistical arrangements such as reserving conference rooms and registering visitors.

Administrative Support:

  • Process incoming and outgoing mail, ensuring urgent items are addressed promptly.
  • Maintain an electronic filing system to department standards, filing client communications and documents regularly.
  • Provide coverage for trust administration tasks during periods of vacation or overflow, as directed.

Special Projects:

  • Assist in the administration of grant programs for client foundations, manage large mailings for family funds, and contribute to research projects as needed.
  • Perform additional administrative tasks on an as-needed basis.

Qualifications:

Bachelor’s Degree required.

3-5 years’ experience in a financial services setting, with estate and trust experience preferred.

Demonstrated ability to manage projects and tasks involving multiple stakeholders under tight deadlines.

Proficiency in MS Office Suite, particularly Excel, with adaptability to learn new applications.

Strong interpersonal skills and the ability to work effectively with diverse personalities.

Excellent oral and written communication skills.
