Job Details:

We are currently seeking a seasoned Legal Secretary specializing in Litigation to join our dynamic team. This is a permanent position that offers an excellent opportunity to work with a team of professional litigators in a fast-paced environment. The successful candidate will be responsible for supporting attorneys by performing a variety of administrative duties, including drafting legal correspondence, updating litigation files, scheduling appointments, and maintaining calendars. This role requires a strong understanding of legal terminology, excellent organizational skills, and a high level of attention to detail.

Responsibilities:

The Legal Secretary will be tasked with a variety of responsibilities that include but are not limited to:

  1. Preparing and drafting various legal documents such as motions, pleadings, subpoenas, and discovery documents.
  2. Coordinating and managing attorney calendars, scheduling appointments, court dates, and meetings.
  3. Filing legal documents electronically (E-filing) with state and federal courts.
  4. Conducting legal research and preparing legal memorandums.
  5. Communicating with clients, opposing counsel, judicial administrative staff, and vendors.
  6. Maintaining organized case files and tracking deadlines to ensure timely filing of legal documents.
  7. Assisting with trial preparation, including witness lists, exhibits, and trial binders.
  8. Providing general administrative support such as answering phones, photocopying, faxing, and filing.

Qualifications:

The ideal candidate for the Legal Secretary position will possess the following qualifications:

  1. Minimum of 3 years of experience as a Legal Secretary, preferably in litigation.
  2. Proficient in E-filing in state and federal courts.
  3. Strong knowledge of legal terminology, court rules, and procedures.
  4. Exceptional organizational skills and attention to detail.
  5. Ability to work independently, manage large workloads, and keep deadlines.
  6. Excellent written and verbal communication skills.
  7. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal research software.
  8. Ability to handle sensitive and confidential information with discretion.
  9. High school diploma or equivalent required; a paralegal certificate or degree in legal studies is a plus.
