The WM, U.S. Banks and IM Financial Crimes Risk Team is embedded within the Firm’s business line. It is responsible for identifying, assessing, and escalating potential money laundering and reputational risk issues associated with higher risk client types. The WM, U.S. Banks and IM Financial Crimes Risk Team is considered the first line of defense and supports the onboarding, enhanced due diligence, and negative news processes for Morgan Stanley.

The Executive Assistant and Business Unit Administrator is responsible for providing overall administrative support for the WM, U.S. Banks and IM Crimes Risk organization. This role will provide exposure to various areas of the FCR organization at a high level, and the wide range of responsibilities presents opportunities to grow your skill set and progress your career within the firm.

DUTIES And RESPONSIBILITIES

Administrative Support

Maintain executive calendars including scheduling meetings, conference calls, addressing meeting conflicts, assisting with hosting Zoom meetings, room reservations and material preparationProvide telephone coverage - answer executive phones, take accurate messages, know executives whereabouts at all times, handle urgent calls with appropriate judgmentHandle business travel and expense report management for senior executivesManage other administrative activities including maintenance and distribution of reports, management of email distributions, preparing copies, ordering office supplies, reviewing/distributing incoming and outgoing mail and packages and greeting guestsAct as a point of contact for technology projects, office moves, migrations, equipment installs/ replacementsCoordinate events and meetings for the team, including all pre-approvals, event logistics/planning and accounting for meetings as needed

Onboarding and Offboarding Support

Provide organizational support for New Hire onboarding, internal transfers and terminationsManage the full contingent onboarding lifecycle and ensure consultants are aligned to approved budgeted line itemsUnderstand the order and approval process for equipment and ensure equipment is in working order for team members – new and existing.Serve as a point of contact to escalate technology issues on behalf of new team members

Location Management Support

Ensure floor plan and occupancy reports are up to date to reflect departmental changes inclusive of new hires, transfers and terminationsServe as a point of contact for the team regarding up-to-date office utilization information in internal firm systemsTake part in move requests involving the business/teamsFacilitate the coordination of office supplies and order when needed

Ad-Hoc Projects / Other

Communicate and manage firm initiatives for the team (e.g., Global Volunteer Month, Annual Appeal)Facilitate and/or support ad hoc projects and reporting for various stakeholders across the team; these may include, but not limited to, creation of materials for meetings and other initiatives, tracker/reporting of initiatives, etc.Actively engage in available training and education programs to learn the business and role of the financial crimes risk organization

Knowledge/Skills

Expected base pay rates for the role will be between $57,000 and $110,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
