We are seeking a dynamic and dedicated individual to join our team as a Permanent Executive Assistant in the Medical industry. This is a pivotal role that requires a high level of organization, attention to detail, and the ability to manage multiple tasks simultaneously. The successful candidate will be responsible for providing executive support to senior management, coordinating projects, and performing a variety of administrative tasks. This position requires a minimum of 5 years of experience in an executive administrative assistant role, preferably within the medical industry.

Responsibilities:

  1. Provide high-level administrative support to senior executives, including handling correspondence, managing calendars, and scheduling meetings.
  2. Coordinate and manage projects, ensuring that all tasks are completed on time and within budget.
  3. Prepare and edit presentations using Excel and PowerPoint, ensuring that all materials are accurate and professionally presented.
  4. Perform notary services as needed.
  5. Use advanced organization skills to maintain files, records, and other documents.
  6. Create and track meeting minutes, ensuring that all attendees receive a copy and that action items are followed up on.
  7. Arrange travel for executives, including booking flights, hotels, and transportation, and creating detailed travel itineraries.
  8. Handle confidential information with discretion and maintain a high level of professionalism at all times.
  9. Assist with other administrative tasks as needed.

Qualifications:

  1. A minimum of 5 years of experience as an Executive Administrative Assistant or in a similar role.
  2. Proven experience in project management, including coordinating and managing projects from start to finish.
  3. Advanced skills in Microsoft Word, PowerPoint, and Excel; typing speed of 60 wpm.
  4. Notary certification is preferred.
  5. Exceptional organization skills, with the ability to manage multiple tasks simultaneously and meet deadlines.
  6. Strong attention to detail and the ability to produce high-quality work.
  7. Excellent verbal and written communication skills.
  8. Ability to handle confidential information with discretion.
  9. Experience in the medical industry is preferred.
