The YMCA of Greater Richmond is seeking a dedicated and detail oriented Administrative Services Director.

Duties and Responsibilities

Office and Administrative Management:

  • Greet and welcome guests at the YMCA headquarters in the Manchester warehouse district offices.
  • Provide general office functions such as phone answering, filing, and customer assistance.
  • Maintain and order office supplies and equipment, serving as the liaison to vendors, service providers, and regulatory agencies in collaboration with the building manager.
  • Manage Sr. VP's purchase card, expense reports, and process monthly billing.
  • Lead employee engagement team by planning quarterly employee appreciation/engagement events.
  • Manage membership card disbursement and external gift certificate requests.
  • Place organizational print material orders as needed and manage staff accounts,
  • Plan and coordinate all-staff meetings, senior leadership retreats, and other organizational events.
  • Prepare expense reports and make travel arrangements for the Association team as needed.

Executive Support:

  • Manage the COO and Sr. VP's calendars, schedules, and meetings.
  • Serve as the primary contact for the COO's Board Member committees, ensuring timely communication and support.
  • Assist with meeting planning and scheduling support for the Association team.

Data and Vendor Management:

  • Manage the organization's SurveyMonkey system for internal surveys and data collection.
  • Collaborate with internal departments to provide support related to areas of responsibility.
  • Oversee organization vendors, processing invoices and payments on a monthly basis.

QUALIFICATIONS

Must have a high school degree or its equivalent; college degree highly desirable. A minimum of three years of practical office experience is required. Working knowledge of Windows, Word, Excel, and MemberST is required. Position also requires excellent oral and written communication skills. Diplomacy, tact, and the ability to work with a variety of people are essential. Experience supervising staff is desirable. Accounting expertise preferred. Must be able to work to deadlines and manage interruptions and member and staff requests efficiently.

Salary: $42,000- $44,000
