Job Description:
The Financial Aid office at Madison College is seeking a
Senior Operations Coordinator
to join our team. This limited-term position is primarily responsible for managing the import and export of ISIRs, the reconciliation of Federal Grants, Loans and Work Study (including FWS annual upload) and managing some of the small grant programs like Child Care Grant. This role requires advanced knowledge of financial aid, attention to detail, analytical and organization skills, and the ability to work independently and collaboratively within a team.
The
Senior Operations Coordinator
position is not student facing, yet plays a vital role in maintaining the integrity of the financial aid processes at Madison College.
Job Details:
This is a full-time, 52-weeks per year, limited-term position through December 10, 2027. General working hours are Monday through Friday from 8:00am - 4:30pm. This position has the option to perform work remotely, with the expectation for in office work approximately one day per month. Subject to change per Madison College policy.
This position reports to the Manager, Operations & Compliance - Financial Aid.

Essential Responsibilities:
Electronically import all Institutional Student Information Records (ISIRs) into SIS (currently PeopleSoft and Campus Solutions). Review ISIRs in Suspense mode Review all file message classes received from the U.S. Dept. of Education through EdConnect, TD Client or COD and perform all duties processing them into SIS. Reviews and reconciles the Federal Pell Grant and Direct Loan programs by troubleshooting disbursement and accounting reports with PeopleSoft, COD, and the G5/G6. Performs Federal Work Study reconciliation each payroll cycle. Prepares and submit annual FWS file annually. Performs Peoplesoft testing due to new financial aid regulatory releases. Recommends any adjustments to financial aid processes. Maintains a commitment to the college mission, vision, and values. Other duties as defined by department, college, or officials. Knowledge, Skills & Abilities:
Skill in communicating effectively and professionally, both orally and in writing. Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities. Knowledge of financial aid regulations, procedures, best practices, and terminology. Ability to research federal and state regulations as needed. Ability to transfer files securely with outside agencies in an electronic format. Ability to coordinate own work with that of others and maintain appropriate quality of standards for assigned work. Knowledge of PeopleSoft or other similar student information system. Ability to research and resolve errors with systems, accounting, reports, and processing. Minimum Requirements:
Associate degree or equivalent working experience. * Experience used as an equivalent of an educational requirement is in addition to any experience required by the position. Three (3) years of work experience directly related to the skills required for successfully performing the duties of this position.
