College Aide, Junior-Senior Position - Part Time - 20 hours per week
The Finance Division at DOHMH, is seeking to hire one highly motivated, detail-oriented College Aide ; to assist with processing competitive health and human services procurements in the Bureau of the Agency Chief Contracting Officer (ACCO).
The College Aide will report to the Assistant ACCO-Procurement Optimization, and duties will include but will not be limited to: Proofread and format solicitation documents to align with established practices and templates.
Duties Will Include But Not Be Limited To
- Proofread and format solicitation documents to align with established practices and templates.
- Under supervision, configure solicitations and proposal questionnaires in PASSPort, the City's end-to-end procurement and financial system.
- Assist with vendor communications by email, phone, or remotely (such as MS Teams).
- Under supervision, update and maintain files (both paper and electronic) and databases.
- Create reports as requested.
- Check records for accuracy of information and for conformity with established policies and procedures.
- Perform a variety of clerical/administrative assignments, including handling routine email assignments, assisting with meeting coordination and scheduling, taking notes at meetings, and performing general office functions such as typing, photocopying, scanning, and answering the phone.
- Perform other duties as needed, including special projects.
Highly reliable. Competence with basic computer applications (Microsoft Word, Excel, PowerPoint, Adobe, Teams, database applications), and competence with office equipment (computer, printer, photocopier, scanner). Excellent written and oral communication skills. Excellent analytical skills and attention to detail.

Minimum Qualifications
For Assignment Level I:
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school.
For Assignment Level II (Information Technology)
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or closely related field, including or supplemented by 9 semester credits in an acceptable course of study.
For Assignment Level III (Information Technology Fellow)
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or other area relevant to the information technology project(s) assigned, including or supplemented by 9 semester credits in an acceptable course of study. Appointments to this Assignment Level will be made by the Technology Steering Committee through the Department of Information Technology and Telecommunications.
SPECIAL NOTE
Maximum tenure for all Assignment Levels in the title of College Aide is 6 years. No student shall be employed more than half-time in any week in which classes in which the student is enrolled are in session. Students may be employed full-time during their vacation periods.

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
