Grade 8 (Salaried) Position Description: The Associate Director of the Faculty Affairs Office at the University of Louisville provides strategic and operational leadership for all faculty and academic administrator personnel actions at the institutional level. Reporting to the Vice Provost for Faculty Affairs, the Associate Director oversees the daily operations of the office, assesses and refines existing workflows, and implements improvements to ensure efficiency, compliance, and service excellence. This position plays a central role in maintaining alignment with university policies and accreditation standards and serves as a key resource to academic units and the Office of the Provost on matters related to faculty personnel. In close collaboration with the Vice Provost, the Associate Director is responsible for developing, implementing, and communicating policies, procedures, and deadlines related to faculty actions. The Associate Director leads the processing and tracking of all personnel requests involving faculty and academic administrators, ensuring that each action is fully documented and compliant with institutional and regulatory expectations. The Associate Director also oversees the university’s credentialing process for instructional faculty, coordinating data entry into official systems and ensuring accuracy for both full-time and part-time appointments. The Associate Director provides regular training and guidance to unit-level faculty affairs coordinators and staff, facilitating a clear understanding of faculty personnel processes and compliance requirements across the university. In addition, the Associate Director is responsible for ensuring that reports of personnel recommendations are submitted for Board of Trustees meetings in a timely manner, including preparing briefing materials for the Provost’s presentations. This role also coordinates the hiring and appointment processes for academic leaders such as deans and other administrative officers and serves as a critical partner in supporting executive-level transitions. The Associate Director supervises two support staff members, providing coaching, oversight, and professional development to maintain a responsive and high-performing team. In all aspects of the role, the Associate Director supports the work of the Vice Provost for Faculty Affairs and represents the office in cross-campus collaborations to ensure consistent and effective faculty-related operations. Essential Duties And Responsibilities Lead Faculty Affairs Operations Provide strategic oversight of the academic personnel side of Faculty Affairs, aligning workflows, systems, and personnel to support university-wide faculty and administrator personnel processes. Regularly assess operations, recommend enhancements, and implement approved changes to ensure efficiency, compliance, and service excellence. Ensure Policy and Accreditation Compliance Direct the review and processing of all faculty and administrative personnel actions to ensure alignment with university policies and accreditation standards. Oversee official faculty personnel records, ensuring timely and accurate archiving in accordance with institutional and regulatory requirements. Advise on Faculty Policy and Procedure Serve as a primary advisor to the Office of the Provost and academic units on university-level faculty policies, procedures, and compliance matters. Represent Faculty Affairs in high-level conversations, committees, and strategic initiatives impacting faculty and academic operations. Integrate Workday and Faculty Business Processes Lead Faculty Affairs’ contributions to Workday implementation and optimization, ensuring that business processes are accurate, functional, and aligned with faculty-specific needs. Provide expert guidance to the Workday functional team and support the evaluation and development of new and updated workflows. Manage Academic Leadership Appointments Coordinate the hiring and onboarding of deans and senior administrators, ensuring timely completion of related tasks and documentation. Oversee the university’s faculty credentialing process for all instructional hires to meet institutional and accreditation standards. Oversee Governance and Institutional Reporting Prepare Board of Trustees personnel recommendations and briefing materials for the Provost, ensuring clear and timely communication of key faculty actions. Respond to open records requests and manage reporting obligations related to faculty lifecycle events. Coordinate Training and Professional Development Lead training initiatives for unit-level personnel responsible for instructional faculty credentialing and other faculty-related processes. Promote continuous learning and compliance through targeted support and resources. Supervise and Develop Staff Hire, train, and supervise professional staff, ensuring alignment with office priorities, high standards of performance, and collaborative team culture. Exercise Good Judgment and Influence Make and advise on high-impact decisions affecting faculty policy, operations, and institutional compliance. Maintain strong working relationships with key stakeholders across schools, colleges, and university leadership, and leverage subject matter expertise to influence outcomes.
