Position Overview:
The Office Administrator plays a key role in upholding Keystone Cooperative, Inc.’s culture and values by overseeing the daily operations of the corporate office. This role ensures a welcoming environment for customers, suppliers, and visitors while maintaining office efficiency through administrative coordination, effective task management, and compliance with company policies.
Key Responsibilities
Include but are not limited to:
- Serve as the primary point of contact for all office visitors, greeting customers, suppliers, and guests with a warm, friendly, and professional demeanor.
- Perform a variety of clerical tasks, including ordering, copying, emailing, mailing, and maintaining records.
- Uphold company safety policies, ensuring all visitors follow check-in protocols.
- Manage office supplies by monitoring inventory, ordering as needed, and maintaining stock levels.
- Coordinate and organize office activities to ensure efficiency, including scheduling meetings and maintaining meeting room availability.
- Assist in the preparation of meetings, including setting up conference rooms and arranging meals.
- Handle incoming and outgoing mail, deliveries, and packages, ensuring timely distribution.
- Accurately process walk-in payments and handle other basic financial transactions.
- Support company-wide communication by preparing, organizing, and distributing documents.
- Provide support in data entry and management to streamline and accelerate the data analysis process.
- Perform other administrative tasks and special projects as assigned to ensure smooth office operations.
- Proven experience as an office administrator, office assistant or relevant role.
- Professional attitude and appearance.
- Excellent organizational skills and ability to work well with numerous interruptions.
- Excellent customer service skills and ability to interface effectively with member-owners, business partners, and internal team.
- Proficient with Microsoft Office Suite.
- Excellent verbal and written communication skills.
- Works well independently and in a team environment.
- Bilingual in English/Spanish is a plus.
- Bachelor's degree preferred, or a combination of education and/or experience.
