Job Summary
This position is located in the Department of Employment Services (DOES), within the Economic Stability and Benefits Bureau. The Executive Assistant acts as a confidential assistant to the Deputy Director, entrusted with information that is privy only to the executive office. Assignments are related to the full range of responsibilities of the Deputy Director and require the incumbent to provide daily advice, objective, analyses, and recommendations on a variety of issues. The Executive Assistant acts as an intermediary for investigating critical and sensitive matters that may be of interest to the Deputy Director. The incumbent ensures that the daily administrative operation's goals and objectives of the Deputy Director are accomplished.

Duties And Responsibilities
Manages numerous executive correspondences including proofing, editing, and preparing correspondence for signature to assure that it is consistent with organization policy and appropriate for the Deputy Director's signature or surname. Manages travel arrangements and serves as a resource for guidance concerning travel regulations and procedures. Manages the flow of information and visitors to the Deputy Director. Coordinates communications with people at all levels. Develops relationships, in order to serve as relationship liaison for the Deputy Director. Maintains calendar and performs liaison function for seniors or executive staff. Arranges conferences and meetings, determine participants, and advise participants of the time, place, and topic to be discussed. Coordinates staff assignments in preparation for meetings. Carries out special and confidential assignments requiring a professional manner, tact and diplomacy, and a thorough knowledge of the initiatives, policies, and functions of the organization. Researches and analyzes administrative requirements, problems, and/or issues. Based on operations and changing requirements, identifies relevant issues for the Deputy Director. Analyzes administrative operations and office procedures to recommend and implement changes for improvement. Acts as coordinator for collection of data/special assignments from the Deputy Director, and in this context, ensure that deadlines are also met. Identifies problems and advises of the various alternative solutions and their consequences, so that he/she may make final decisions.
Responds to inquiries and administrative issues brought to the Deputy Director's attention. Notifies the appropriate staff members of the need for information or recommendations; and either prepares the response or follows up to ensure a timely response by others. Analyzes and evaluates issues and activities to resolve problems and improve work processes. Makes recommendations regarding office management improvements and procedures and prepares reports of findings. Investigates problem areas; make recommendations for solutions; and assures that appropriate staff takes necessary action to resolve problems. Facilitates special project and administrative issues of broad impact, which may involve producing analyses and written reports; organizing committees, workshops, or other gatherings; and developing or fostering cross-office activities. Develops, coordinates, writes, and implements policy and guidance pertaining to administrative procedures and directives. Prepares reports to assist the Executive Official in the preparation for meetings outside the office, by ensuring that the appropriate information has been gathered and reviewed for their use. Maintains document tracking system and ensures that the many files and/or records are complete and up to date, as well as the database of all documents received and sent from the Executive Official.
Qualifications And Education
Individual must possess at least one (1) year of specialized experience equivalent to the CS-11 grade level. Specialized experience is experience that is directly related to the position and has equipped the individual with the knowledge, skills, and abilities to successfully perform the duties. This experience could include but not be limited to experience in office management, applying complex fact-finding, analytical, and problem-solving methods, and techniques to identify problems, draw conclusions and make recommendations.
A bachelor’s degree from an accredited four-year university is preferred.

Tour of Duty: Monday – Friday, 8:30 am – 5:00 pm
Operating Status: In-Person reporting, flexible and limited telework options available upon position eligibility and operational needs.
Pay Plan, Series, and Grade: CS-301-12
Duration of Appointment: Career Service –Term, NTE 13-Month
Collective Bargaining Unit: This position is not covered under a collective bargaining agreement.
Promotion Potential: No known promotion potential
Position Designation: This position has been designated as security-sensitive therefore the incumbent of this position will be subject to enhanced suitability screening pursuant to Chapter 4 of DC Personnel Regulations, Suitability, and as such, incumbents of this position shall be subject to criminal background checks, background investigations, and mandatory drug and alcohol testing, as applicable.
