This position is not considered Essential Personnel under the LRCVB Inclement Weather policy. JOB OBJECTIVE:
To manage and oversee the day-to-day convention services to groups hosting conventions, meetings, events and related activities in the City of Little Rock.
Essential Functions
Manages and oversees the day-to-day convention services to groups hosting conventions, meetings, events and related activities in the City of Little Rock to include activities designed to increase attendance, site selection, marketing/promotional materials, and various on-site resources/services during events to increase attendance and economic impact within the City of Little Rock. Provides strategic guidance to clients of various services available through the Little Rock Convention and Visitors Bureau (LRCVB) and determines appropriate service requirements based upon organizational needs; serves as liaison between clients and local service providers to offer suggestions, planning assistance and provide attendees information relative to various attractions, accommodations, activities and services within the City of Little Rock. Establishes and maintains relationships with area hotel representatives and receives hotel accommodation and attendance information relative to specific group hotel reservations; oversees the tracking and analysis of hotel attendance and related statistical information to provide group histories and economic impact information. Manages the delivery of on-site group registration and related services as required; oversees the coordination of registration, concierge and welcome booth services as requested by clients; ensures appropriate training and scheduling of personnel to provide requested services. Directs and oversees the work of assigned personnel by setting priorities, reviewing work activities and monitoring performance; develops schedules and determines appropriate staffing levels for the Visitor Experience Representative I team members to provide support to groups requiring assistance at LRCVB facilities or participating hotels in Little Rock. Oversees and ensures accurate preparation and submission of timesheets for Visitor Experience Representative I positions and submits to appropriate payroll processing. Provides assistance to the Director of Destination Services in the coordination of various Destination related activities in the Department. Manages and oversees the research and maintenance of vendor information in the Customer Relationship Management (CRM) system and for inclusion on LRCVB website to ensure vendor information is current and accurate; provides information relative to area hotels, facilities, and attractions available to clients; conducts research, reviews trade publications; establishes working relationships to build partnerships with industry partners and area businesses. Leads the development and administration of visitor satisfaction and surveys event success metrics; compiles information, analyzes data to identify trends, measure outcomes, and identify areas needing improvement; submits information to appropriate personnel for review. Oversees the coordination of event signage throughout the downtown area to include street banners, window clings, digital airport welcome displays, and bridge lighting, ensuring timely completion of requests from clients. Oversees the customer relationship management system by entering client information, client interactions, and other related activities in compliance with applicable policies, procedures and standards; maintains reunion, wedding and other service lead inquiries by entering appropriate information, service requests and client follow up activities. Supervises the compilation of information related to incoming groups to include group profile, demographics and conference agenda; updates applicable information in the weekly events report and submits to the Downtown Little Rock Partnership for determination of staffing requirements for the Downtown Ambassador program. Establishes and maintains computer files and records of correspondence, traces, projects, and other related information relative to assigned sales territory and/or market segment(s) and related activities. Interacts with LRCVB staff, partners, and clients in a courteous, cooperative and professional manner. Operates a personal computer with Internet, spreadsheet, and word processing software in the performance of essential job functions. Operates an automatic transmission automobile in the performance of essential job functions.
SUPERVISORY RESPONSIBILITIES:
Visitor Experience Representative I
Minimum Qualifications, Additional Requirements and Supervisory Responsibilities These knowledge, skills, and abilities are usually, although not always, acquired through the completion of two (2) years of college or vocational-technical coursework in Business Administration, Public Administration, or related fields, and three (3) years of administrative experience in the tourism and hospitality industry or related area, one (1) year of computer experience and one (1) year of supervisory experience. Equivalent combinations of education and experience will be considered.
ADDITIONAL REQUIREMENTS:
Must possess a valid Arkansas Class D (Non-Commercial Vehicle) Driver's License before employment and maintain licensure for the duration of employment in this position. Must show proof of valid automobile insurance before being approved to drive any LRCVB vehicle. Must be available to work nights, holidays, and weekends as required. This position may require one or more of the following pre-employment screenings: drug and alcohol screening, or background investigation.
