Position Overview:
Client is seeking a proactive and highly organized
Executive Assistant & Governance Specialist
to support the CEO and leadership team while managing governance operations. This role is ideal for someone who thrives in a fast-paced environment, excels at managing executive schedules, and is eager to grow into governance responsibilities. You'll serve as a key liaison to volunteer leaders, coordinate board activities, and ensure governance processes run smoothly and professionally.
Key Responsibilities:
Executive Support
Manage CEO and COO calendars, expense reports, and travel arrangements Maintain key documents, databases, and memberships Provide high-level administrative support with professionalism and discretion Governance & Board Coordination
Schedule and prepare materials for board, council, and committee meetings Take meeting minutes and distribute board packets Manage the nominations process and committee rollovers Maintain and update governance web pages and documentation Develop and maintain Board Skills & Experience Matrices Stakeholder Engagement
Serve as a primary point of contact for volunteer leaders Build and sustain trust-based relationships with internal and external stakeholders Ensure seamless communication and alignment across leadership teams Operational Excellence
Coordinate logistics for meetings and events Ensure accuracy in communications, records, and documentation Support event planning, including PICPA's Annual Conference Occasionally travel and work onsite as needed Qualifications:
5+ years of experience in executive support or governance roles Strong organizational and time management skills Excellent communication, diplomacy, and relationship-building abilities Proficiency in Microsoft Office (Outlook, Excel, Teams); basic HTML/CMS knowledge a plus Comfortable working independently and collaboratively Must reside within 1 hour of Philadelphia, PA Preferred Skills:
Experience with governance processes or nonprofit boards Familiarity with data analytics for decision-making Event planning and stakeholder communications experience
