Position Overview: We are seeking a detail-oriented and proactive Recruiting Support Specialist to join our fast-paced staffing team. This role is critical in ensuring smooth candidate intake, supporting contractor management, and maintaining accurate timekeeping and invoicing processes. If you're organized, tech-savvy, and enjoy supporting recruiting operations behind the scenes, we want to hear from you.
Key Responsibilities
Candidate Support & Intake
- Answer and screen incoming recruiting line calls
- Guide candidates through the application process using our Applicant Tracking System (ATS)
- Log candidate intake details and assist with resume uploads
- Maintain accurate records in ATS
- Review contractor time entries and identify discrepancies
- Make time adjustments when necessary and flag concerns to recruiters
- Send weekly timekeeping reminders to contractors
- Send weekly invoice reminders to contractors
- Follow up on missing or late invoices
- Notify recruiters of ongoing invoice issues
- Conduct reference checks
- Schedule background and drug screenings
- Support onboarding paperwork and compliance documentation via QuickBooks and DocuSign
- Track and coordinate the shipment of appreciation packages to active contractors
- Previous experience in staffing, recruiting, or administrative support role preferred
- Strong attention to detail and organizational skills
- Excellent written and verbal communication
- Proficient in Microsoft Office
- Ability to multitask and manage priorities in a fast-paced environment
