JOB SUMMARY
The Executive Assistant provides high-level administrative support to the Chief Executive Officer, Board of Directors, and senior leadership team. This position plays a central role in managing communications, scheduling, policy coordination, and supporting the daily operations of executive leadership. The Executive Assistant must be highly organized, detail-oriented, and comfortable working in a fast-paced environment that requires strong follow-through and professionalism.
ESSENTIAL FUNCTIONS Serves as the main point of contact for external communications directed to the CEO, helping manage and prioritize responses and follow-up items. Coordinates and manages the CEO's schedule, including internal and external meetings, with awareness of organizational priorities and deadlines. Tracks upcoming obligations and due dates, ensuring timely reminders and support for the CEO and senior leadership. Schedules and prepares logistics for internal and external meetings, including agendas, materials, food ordering, and setup support. Provides administrative support to the Board of Directors, including preparing board packets, taking and transcribing meeting minutes, and coordinating monthly and finance committee meetings. Maintains the policy tracking system, ensures policies are up to date and signed, and prepares required policies for Board review and approval. Supports the coordination of staff travel arrangements for the CEO, Board Members, and employees across departments. Assists in greeting and hosting guests, vendors, and visiting partners in collaboration with leadership. Co-chairs the holiday committee and helps plan internal events and group meetings. Supports internal coordination with building security, vendor arrivals, and supply ordering, including Amazon orders. Assists the CEO and leadership team with document preparation, data entry, and other administrative projects as needed. Ensures timely completion of signature requests from staff or external partners. Helps maintain alignment with Joint Commission and HRSA documentation requirements through accurate policy tracking and support.
KNOWLEDGE, SKILLS, AND ABILITIES Strong organizational and time-management skills with the ability to juggle multiple priorities. High level of professionalism and confidentiality. Ability to anticipate needs, follow through, and hold others accountable in a respectful and effective manner. Proficient in Microsoft Outlook, Word, Excel, Adobe, and SharePoint. Excellent written and verbal communication skills. Demonstrated ability to work independently and collaboratively. Familiarity with working in diverse, mission-driven healthcare settings. Cultural sensitivity and respect for American Indian communities and the populations served by IHB.
EDUCATION AND EXPERIENCE Bachelor's degree with 2-4 years of administrative experience, or Associate's degree with 4-6 years of relevant experience. Previous experience supporting senior-level executives preferred. Experience coordinating meetings, tracking policy or compliance documents, and managing executive schedules is strongly preferred. Availability for evening or weekend hours as needed for Board or leadership-related meetings.
