Executive Assistant with Asana Proficiency (Remote)
Are you an experienced and highly organized administrative professional? We are seeking an Executive Assistant to provide proactive support to senior leadership across multiple areas. This role requires exceptional attention to detail, complex scheduling abilities, and a proactive approach to managing priorities.
Responsibilities include but are not limited to:
- Calendar and Schedule Management:
- Manage complex schedules across multiple time zones, ensuring effective time allocation and prioritization.
- Coordinate and maintain recurring and ad-hoc meetings, including 1:1s and team meetings.
- Communication Management:
- Serve as the primary contact for communications on behalf of senior leaders.
- Draft, review, and manage emails, Slack messages, and tasks to ensure timely responses.
- Meeting Coordination:
- Organize and prepare for meetings, set agendas, take notes, and follow up on action items.
- Participate in team and leadership meetings as needed to understand priorities.
- Travel Coordination:
- Plan and coordinate domestic and international travel arrangements.
- Administrative Support:
- Handle confidential information professionally.
- Support scheduling for internal events, onboarding, and projects.
- Team Collaboration:
- Work with other administrative staff to ensure smooth operations.
Qualifications:
- Proficiency in Asana, Google Calendar, Gmail, and Slack is required.
- Experience working on Mac OS is required.
- Minimum 3 years supporting C-level executives or multiple leaders across time zones.
- Bachelor's degree or relevant certification.
- Excellent communication skills in English (B2 level or higher).
- Strong organizational and time management skills.
- Tech-savvy with familiarity with desktop sharing, cloud services, and VoIP.
- Experience with MS Office tools.
- Knowledge of online calendars and scheduling tools.
- Proactive attitude and willingness to learn.
- Ability to work night shifts.

- Internet Speed: minimum 25 Mbps (main), 10 Mbps (backup)

Schedule: Based on leader’s time zone
Location: Remote
Salary: Up to Php 75,000 (for 3-5 years experience)
