Assistant Property Manager
Job Description Summary
The Assistant Property Manager is responsible for assisting in all areas defined as part of the Sr. Assistant Property Manager role, and performing property administrator duties if no property administrator is present. The role requires maintaining professionalism and fostering positive relationships with tenants and clients.
Essential Functions and Responsibilities
- Provide administrative support, including phone support, typing, reports, filing, and correspondence distribution. Coordinate office supplies if no property administrator is available.
- Assist with lease administration, including lease abstraction and database updates.
- Maintain organized property files, including leases and contracts.
- Prepare and coordinate bid proposals and service contracts.
- Obtain aging reports and follow up on delinquencies according to policies.
- Process invoices with proper backup following established procedures.
- Coordinate tenant move-ins and move-outs, including furniture logistics.
- Oversee maintenance of work order and purchase order systems.
- Develop and maintain tenant service programs, including handbooks, newsletters, and events, ensuring tenant information is current.
- Update office procedures in the Operations Manual under the managers guidance.
- Ensure Certificates of Insurance for tenants and vendors are current.
- Oversee processing of staff hours, expense reports, and check requests.
- Manage tenant bill-backs for utilities and other charges.
- Assist with budget preparation, financial reports, and bank deposits.
- Conduct regular property inspections with service providers.
- Participate in the oversight of service contractors.

Education
High school diploma or GED required; Bachelors degree preferred.
Experience
Minimum of 1 year in real estate property management or related field.
Additional Qualifications
- Proficiency in Microsoft Office Suite
- Ability to meet deadlines and demonstrate initiative.
Work Environment
Professional office setting; requires travel between properties in varying weather conditions.
Physical Demands
Ability to stand, walk, ascend/descend stairs, and operate office machinery; ability to work in outdoor weather conditions as needed.
