Position Summary
The Temporary Procurement Specialist will support the HQ Procurement and Contracts & Grants (C&G) teams by managing procurement processes and contributing to award and contract administration. This role is responsible for executing General & Administrative (G&A)-funded procurement actions, ensuring compliance with organizational and federal regulations, and supporting a variety of C&G functions during a high-demand period.
Key Responsibilities
Procurement Duties:
Execute G&A-funded procurement actions from initiation through vendor selection, including drafting RFPs/RFQs, organizing technical evaluations, and conducting cost and price analysis. Support contract negotiations and execution processes, including the creation of purchase orders (POs) and proper documentation within NetSuite. Interpret and apply federal and organizational procurement regulations; provide policy guidance to staff as needed. Manage vendor onboarding and creation in NetSuite, ensuring compliance and completeness.
Contracts & Grants Support
Assist the C&G team in reviewing and processing awards, subawards, modifications, and related documentation. Provide contractual guidance to internal requesters. Support the C&G Director with daily operational tasks as assigned, which may include: Full lifecycle contracts and grants administration, Document and records management, Data entry and tracking, Development of templates, tools, and procedures, Participation in training or capacity-building efforts.
Qualifications
Required:
Bachelor’s degree in business, supply chain management, public administration, or a related field. At least 5 years of relevant experience in procurement and/or contracts & grants administration. Solid knowledge of U.S. federal procurement regulations (e.g., 2 CFR 200) and donor compliance requirements. Experience with procurement and contract management systems, preferably NetSuite. Strong organizational, analytical, and communication skills. Ability to manage competing priorities with minimal supervision.
Preferred
Experience working in an international NGO or nonprofit environment. Familiarity with USAID procurement and award processes. Professional certification in procurement or supply chain management
Working Conditions
Based at HQ or remote May require occasional cross-time zone coordination. This is a temporary position for approximately 3 months, with potential for extension based on organizational needs.
