Visit Seattle is hiring a Coordinator to join our team of dedicated, service-oriented professionals. This position is responsible for supporting a dynamic collection of teams that includes Membership, Community Engagement, Strategic Alliances, Communications, Public Relations, Public Affairs, and Destination Experience. In this role, you’ll provide administrative, operational, and project support to ensure smooth, efficient operations across the department. The coordinator also assists with media distribution and tracking, conference registrations and travel bookings, involvement with Visit Seattle’s signature events and networking activations, coordinating presentation materials, and maintaining promotional item inventory for the department.
What You'll Do
Manage calendars, travel arrangements, office supplies, mail/shipping
Support expense reporting and reconciliation
Serve as the liaison to IT vendor
Maintain and update Simpleview (CRM) database (contacts, extranet security settings, tags, amenity details, web images, and listing descriptions).
Process new member applications and assist Membership Development Managers with onboarding of new member businesses.
Assist Membership with execution and management of additional marketing opportunities including Kiosk Ads, Brochure placement, Member Offer E-blasts, Sponsorship programs and activations, etc.
Train new and existing members in the use of Member Extranet. Coordinate weekly email blasts and mailings to Membership base via MailChimp.
Manage Mailchimp member distribution lists and update contact information in MailChimp.
Prepare all member listings and grids for Visit Seattle digital publications and manage editing process, in collaboration with Membership and Marketing departments.
Assist Membership with executing Visit Seattle’s trade and reciprocal agreements with assigned members.
Complete quarterly Certify expenses audit and export to Simpleview CRM
Manage and respond to Membership email inbox inquiries.
Assist Destination Experience with the planning and facilitation of the Certified Tourism Ambassador program.
Coordinate local and domestic bulk orders and product delivery through Certified Contract.
Manage educational program material requests and shipments.
Provides customized Membership reports, as required.
Assists with the scheduling and facilitation of the departmental meetings and taskforces including the Advisory Committee, Public Affairs Committee, The Membership Roundtable, and other meetings as identified.
Coordinate Industry conference and event registrations and travel bookings for both local and national programs for the department.
Assist the Senior Vice President/Chief Strategy Officer, Sr. Director of Communications and Public Relations, Director of Community Engagement and Strategic Alliances, and the Senior Manager of Destination Experience with calendar maintenance and scheduling, initiatives and activations, invoice processing and monthly/quarterly/annual report preparation. Other duties may occasionally be assigned to help fulfill our Mission.

You’ll also have:
1 year of relevant administrative experience desired
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Experience with CRM systems; familiarity with Simpleview a plus
Clear and effective communication skills, both verbal and written
The ability to work both independently and as part of a team
A demonstrated commitment to working effectively with people from diverse backgrounds and experiences
