Overview
The Sales Support Administrator plays a critical role in supporting the Regional Sales Director and the broader sales team by ensuring smooth operations across candidate coordination, reporting, and meeting logistics. This position requires a detail-oriented, tech-savvy individual who can manage multiple tasks in a fast-paced, sales-driven environment.
Key Responsibilities
Recruiting & Interview Coordination
Pre-screen sales representative candidates based on predefined criteria Schedule and coordinate interviews (in-person and virtual) between qualified candidates and the Regional Sales Director Communicate with candidates in a professional, timely manner throughout the process Maintain tracking spreadsheets or applicant tracking system (ATS) to monitor candidate progress Sales Reporting & Account Oversight
Update and maintain weekly KPI dashboards and Top 10 Account tracking reports Collect data from CRM and sales reps; ensure accuracy and timely delivery Assist with compiling reports for sales performance reviews and one-on-ones Provide administrative support for Performance Improvement Plan (PIP) documentation Meeting & Communication Support
Attend weekly sales meetings and bi-weekly one-on-one meetings to capture detailed notes and action items Distribute meeting summaries and ensure follow-up on assigned tasks Help prepare agendas, presentation materials, and supporting documents as needed Administrative & Operational Support
Manage the calendar and schedule for the Regional Sales Director related to recruiting, meetings, and field visits Organize and maintain digital files, reports, and communications Support sales team with administrative needs, such as CRM entry, call/email tracking, and light reporting tasks Assist in the onboarding process of new Sales Reps by coordinating training schedules and system access Qualifications
2+ years of administrative or coordination experience (sales or recruiting environment preferred) Strong organizational and time management skills with the ability to handle multiple priorities Proficient in Microsoft Office (Excel, Outlook, Word), Zoom/Teams, and CRM systems (e.g., Zoho, Salesforce) Exceptional verbal and written communication skills Ability to work independently and proactively anticipate team needs Discretion and professionalism when handling sensitive information Preferred Traits
Strong attention to detail and follow-through A collaborative mindset with a customer-service approach Familiarity with staffing or sales operations environments is a plus Experience with ATS or recruiting tools (e.g., Indeed, Apollo, LinkedIn) About Ascend Staffing
