Position Summary:

The Administrative Assistant (Treasurer) is responsible for performing a variety of clerical and administrative tasks to support the Treasury Department. This includes processing payments at the cashier window, preparing bank deposits, interfacing with the public, answering phones, and responding to inquiries. The ideal candidate will have excellent communication skills, attention to detail, and a customer service-oriented mindset.

Key Responsibilities:

- Cashiering and Payment Processing - Serve as a cashier, accepting and processing payments for taxes, building permits, fees, utility billing, dog licenses and other services at the Treasury counter.

- Process payments received in the mail and in the drop box.

- Ensure accurate entry of payment details into the BS&A Cash Receipting system.

- Provide receipts and answer any immediate payment-related questions.

- Perform opening and closing procedures.

- Prepare daily bank deposits for all payments received.

- Reconcile cash and checks, ensuring accuracy before deposit.

- Maintain accurate records of all deposits and associated transactions.

- Interface with the public at the cashier window, answering general questions and aiding with Treasury-related matters.

- Respond to phone inquiries, resolving issues or routing calls to the appropriate personnel.

- Handle customer complaints or concerns with professionalism and courtesy.

- Assist in maintaining Treasury records, including payment receipts and customer records.

- Prepare and mail out correspondence related to payments, delinquent notices, or account statements.

- Provide administrative support to the Treasury Department, including filing, copying, and handling mail.

- Assist with special projects as assigned by the Treasurer or Deputy Treasurer.

Qualifications:

- High school diploma or equivalent required.

- Associate's degree in business administration, finance, or related field preferred.

- Previous experience in a cashiering or customer service role preferred.

- Experience in a government or Treasury environment is preferred.

- Strong attention to detail and accuracy in handling payments and financial data.

- Excellent communication and interpersonal skills.

- Proficiency with Microsoft Office (Word, Excel, Outlook) and familiarity with payment processing software.

- Ability to multi-task and manage time efficiently.

- Ability to handle confidential information with discretion.

Work Environment:

Supplemental Information:

Hourly rate will be based on experience and will range from $23.41 per hour to $26.00 per hour.
