ABOUT THIS POSITION

The Parks and Recreation Department is one of the largest municipal park systems in the nation with more than 41,000 acres of desert parks and mountain preserves with 200 miles of trails; 29 pools; 8 golf courses; 187 flatland parks; 10 preserve areas; and 33 community centers. Over a million Phoenix-area residents regularly enjoy the city's parks, playgrounds, walking paths, athletic fields and open green spaces.

The Parks and Recreation Department is seeking an Administrative Assistant II to support the Director's Office and assist with strategic department initiatives. This role requires excellent communication skills, a proactive mindset, and the ability to excel in a fast-paced environment.

As an Administrative Assistant II for the Director's Office, key administrative duties will include writing and editing Legistar reports, board reports, weekly highlights, and creating PowerPoint presentations. Th iis position will support the monthly Parks and Recreation Board meetings and serve as the primary liaison to the Phoenix Parks Foundation by attending meetings, providing department updates, and managing foundation requests with timely follow-up. Additional responsibilities will include compiling annual department and city surveys, such as the City Park Survey, National Recreation and Parks Association Survey, and Valley Benchmarks Survey. The Administrative Assistant II will monitor the Director's Office budget and will serve as a backup to the Management Assistants for City Council requests by providing timely and accurate responses to constituent concerns.

Furthermore, this role will oversee strategic department initiatives, such as serving as the primary liaison for the volunteer program for flatland urban parks. Responsibilities include establishing community service projects, fundraising, recruiting volunteers, and managing public relations efforts to support the department's objectives. Additionally, the position will create and manage training procedures to ensure effective contributions toward the department's goals.

Takes initiative to continuously improve administrative processes.Ability to communicate with Elected, Executive and Administrative level employees.Knowledge of the City of Phoenix or municipal government structure and processes.Advanced computer skills (Microsoft Word, Excel, PowerPoint, etc.).Familiarity with research methods and techniques.Ability to work independently, conduct thorough analyses, and offer sound recommendations.Innovative, adaptable, and ready to jump in to support the department goals and initiatives.Ability to work for a fast-paced large governmental or similar agency providing high level administrative and management support.Ability to multi-task and have excellent follow through skills.Be organized, professional, reliable and problem-solving skills.SALARY

Pay Range: $63,045 - $107,807 annually.

Hiring Range: $63,045 - $97,781 annually.

MINIMUM QUALIFICATIONS

Bachelor's degree in public or business administration or a related field.Three years of professional experience in public administration or governmental research or finance.Other combinations of education and experience that meet the minimum requirements may be substituted.The City job description can be found here .All finalists for positions are subject to a criminal background check applicable to the department or position.Some positions require the use of personal or City vehicles on City business. Experience overseeing strategic initiatives.Experience working with elected officials and boards, community groups, and non-profit organizations.Experience conducting independent research and data collection.Experience writing high-level reports.Experience developing and implementing new processes and procedures.
