Job Description

POSITION OBJECTIVEThe Assistant Director of the Office of Accommodated Testing will directly oversee, manage, secure and monitor the facilities, budget and activities associated with the Office of Accommodated Testing and Services. The Office of Accommodated Testing and Services is an extremely fast-paced environment that requires high-level organization and communication skills. This position will serve as the primary point of contact for undergraduate, graduate and professional students testing with accommodations; and faculty and other department staff who have students testing with accommodations. This position makes decisions for the office with limited supervision.Building a welcoming and inclusive community is the foundation of the work we do as professionals working with students. Fully including people of diverse backgrounds and perspectives helps us all thrive by working together, focus on our collective well-being and help students gain insight from their academic endeavors and real-world experiences.ESSENTIAL FUNCTIONSManage the development of the accommodated testing process to directly complement the vision, mission, strategic goals, policies, procedures and regulatory requirements for Case Western Reserve University. Be the expert on the accommodated testing process and represent the Office of Accommodated Testing and Services to students, faculty and staff. Develop, recommend and administer guidelines, procedures, and processes in support of Disability Resources within the Testing Center. Work in collaboration with multiple offices and departments on campus to implement testing accommodations. (35%)Schedule all test to be administered by the Testing Center through the Accessibility Information Management (AIM) system, assign students to testing spaces according to their approved accommodations.Communicate with faculty and staff regarding testing for online and hybrid courses over the summer.Facilitate resolving technical problems and install upgrades with UTech.Collect and analyze a variety of complex data and information. Perform statistical analysis and summarize findings in applicable reports, surveys, and other communication as needed.Prepare handouts, brochures, and other important information for students, faculty, and staff.Oversee problem resolution for any faculty and student concerns.Communicate with faculty and students to coordinate scheduling conflicts and ensure students have the appropriate testing experience as their peers, while adhering to the classroom guidelines established by faculty.Log and track progress of requests for alternative dates, assist students and faculty by providing options for alternative dates and relay approvals to students.

Establish direction and focus (develop, explain and discuss objectives) for departmental staff and student employees as it relates to each person’s position, team collaboration, department policy and procedures and customer services provided to students and the university community. Recruit, train and supervise accommodated testing coordinators and student employees who provide testing accommodations to undergraduate, graduate and professional students. (25%)Maintain a work environment that is marked by respect for others, that values inclusiveness and builds workforce diversity, and fosters diversity and teamwork.Supervise the day-to-day operations of the Testing Center; schedule testing coordinators and student employees work hours.Train and directly supervise testing coordinators; issue daily work assignments and review work as needed.Complete yearly performance reviews with staff. Provide honest and constructive feedback on performance. Provide clear expectations with staff weekly/bi-weekly providing information and training on advancements in field, relevant case law, and opportunities for professional development.Ensure that staff are compliant with institutional, state, and testing regulations. Manage resources as necessary to ensure that staff stay up-to-date on procedural manuals.Manage Disability Resource staff that supports the testing center during high stakes testing times (midterms and finals).Communicate regularly and effectively with student employees on productivity and provide clear guidance daily.

Oversee administration of confidential exam materials used for accommodated testing. Utilize the Accessibility Information Management (AIM) system to facilitate and proctor accommodated testing for undergraduate, graduate and professional programs. Develop and implement a procedural manual for proctoring accommodated testing. Establish seating charts based on registered students and their approved accommodations. Reserve classroom space needed for additional testing, including the setup and breakdown of the testing areas. Serve as the Chief Proctor for a standardized, web-based subject exam through the National Board of Medical Examiners (NBME) for accommodated students within the School of Medicine. Administer the Aquifer FMCases examinations for the School of Medicine. Administer HESI Exams for the School of Nursing. (20%)Monitor and oversee departmental budget to maintain office resources with the Associate Dean/Director. Maintain accurate financial records. Organize and make departmental purchases and track spending. Meet bi-weekly with the supervisor to discuss, revise and address budget needs if necessary. Review monthly reconciliation reports and review quarterly reports for submission with the supervisor and department assistant. Create petty cash reimbursements, reconcile erroneous purchase, create purchase orders and assist with creation of business proposals for new vendors when needed. (10%)NONESSENTIAL FUNCTIONSIn collaboration with University Marketing and Communications, maintain a marketing presence which highlights the department’s unique purpose and voice, including social media strategies. Keep web content updated. Provide appropriate webpage edits, including new guidelines for testing, updated calendar and helpful resources for students, faculty and staff. (5%)Develop presentations and facilitate program specific training to the various academic departments on how the Testing Center can assist with proctoring accommodated exams/assessments for students with disabilities. (5%)CONTACTSDepartment: Continuous contact with the Associate Dean of Disability Resources to discuss budget, upcoming events, testing capacity preparedness, new guidelines or procedural changes, and review previous week’s activities. Daily contact with the Testing Coordinators of Accommodated Testing, Department Assistant and the Assistant Director for Accommodated Services and continuous contact with the Disability Resource staff to discuss students’ accommodated testing needs.University: Continuous contact with faculty setting up tests and questions students may have about an exam. Frequent contact with faculty and staff at events and collaborative programs to serve as a representative of the Office of Accommodated Testing and Services, and to inform faculty, students and staff about the accommodative testing process.External: Occasional contact with outside vendors representing shredding company, copier maintenance and attendees of professional development seminars.Students: Daily contact with students who are testing in the areas.SUPERVISORY RESPONSIBILITYDirect supervision of the Testing Coordinators, 1 to 2 graduate students, and up to 5 undergraduate student employees.QUALIFICATIONSExperience: 5 years of related experience in office setting required. Experience in higher education preferred.Education: High school education required. Bachelor’s degree in related field preferred.REQUIRED SKILLSExcellent customer service skills.Ability to multitask, in a fast-paced environment with a positive attitude and be both independent and team oriented.Excellent communication skills essential to provide instruction to staff and students related to implementation of new policies and find resolutions.Computer proficient and know MSWord, Excel and become proficient in Accommodated Information Management (AIM) system.Complete PeopleSoft Financials training courses.Ability to meet consistent attendance.Ability to interact with colleagues, supervisors and customers face to face.Ability to work with diverse groups of individuals, including age, race, ethnicity, gender, gender expression, sexual orientation, socioeconomic and educational background and ability.Demonstrated history of successful support, education, and advocacy for all students, aligned with the values, mission, and messaging of the university, while adhering to the staff policy on conflict of commitment and interest.Ability to interact with individuals with disabilities.Ability to maintain a work environment that is marked by inclusiveness and respect for others.WORKING CONDITIONSTypical office environment. The employee will perform moderate to light lifting, moving computer equipment and arrangement of furniture as necessary.
