Olameter is hiring a Proposal Writer!The Proposal Writer is a key player driving new business opportunities by creating high-quality proposals, presentations, and marketing materials within company guidelines, all in a fast-paced, deadline-driven environment.This position will work diligently in a collaborative environment, across all internal departments to gather the necessary information, define the scope of work, and craft the intricate details to ensure the full life cycle of the proposal process. This will involve assisting with researching active Requests for Proposals (RFPs), Requests for Information (RFIs), and Requests for Quotes (RFQs), as well as showcasing proven technical writing skills in the drafting, editing, formatting, and submitting of proposal responses. Attention to detail, organization, and the ability to work in a deadline-driven environment are crucial for the success of this position and for overall business development. This role will require proven skills with writing software including expertise with using Adobe InDesign and other writing software. You will also be responsible for maintaining project timelines, uploading and updating bid records in Salesforce, and ensuring all proposals are submitted on time prior to set deadline dates.The ideal candidate will demonstrate excellent technical writing skills and the ability to work effectively at all levels of the organization. A proactive, detail-oriented approach is essential to ensure the timely delivery of high-quality work that supports business development.Responsibilities Sales Proposal Coordinator

Lead the complete cycle including reading, drafting, editing, formatting, and submitting the Request for Proposals (RFPs), Requests for Information (RFI), Request for Quote (RFQ) and all other customer inquiries.Utilize writing software including MS Word, Adobe InDesign, Microsoft Publisher, or Adobe Photoshop to complete all necessary formats as outlined in the proposal.Diligently reviewing and ensuring all responses are provided with excellent clarity and consistency and fully answering the request of the entire proposal.Collaborate with upper management, sales, marketing, and other internal departments to assess the bid opportunity and determine whether to pursue it by evaluating the scope of work outlined in the RFP, RFI, or RFQ.Review and proofread all proposal documents to ensure clarity, consistency, and compliance with RFP guidelines, grammar, style, and branding.Create/Upload/Update/Maintain records of bids and contracts in Salesforce.Monitor bid websites to identify relevant opportunities, distribute bid information to internal teams, and ensure adherence to deadlines and bid requirements.Develop and maintain project timelines and schedules to ensure proposals are submitted on time.Ensure all proposals and supporting materials are completed within deadlines, meeting client and internal expectations.Ensure proposal responses are written to meet or exceed all RFP requirements and reflect winning strategies and themes.Review final data before submitting RFP to ensure all requests and objectives are being addressed before submitting.Work with the Operations team to create short list presentations.In cases of lost bids, request a debrief meeting and distribute reasons to the team. Update Salesforce with the reason the bid was lost for reference.The ability to write, edit, review, and submit multiple proposals responses for both the US & Canada.Qualifications for Proposal Coordinator

Previous experience as a proposal, government, technical, grant or RFP writer or specialist.Superior technical writing skills and knowledge of industry best practices.Bachelor's degree or equivalent in related field is a plus.Advanced word processing skills and proficiency in Microsoft Office suite.Previous experience in utilities industry a plus.Advanced familiarity with RFI/RFP processes and procedures.Editing and templating competencies.Strong command of English language and good communication skills.Proven ability to meet strict deadlines.Exposure to a normal office environment; the role may involve sitting for extended periods, utilizing phones, computers, printers, and general office equipment.Olameter is one of the largest meter servicing companies in North America with over 1,500 employees providing services in 30 states and provinces to over 300 utilities.Olameter is an equal opportunity employer that is committed to diversity and inclusion in the workplace.
