The Sales Proposal Coordinator is a key player in supporting both marketing and sales functions to achieve corporate goals. This role is responsible for creating high-quality proposals, presentations, and marketing materials within company guidelines, all in a fast-paced, deadline-driven environment.This role involves collaborating with cross-functional teams—including marketing, sales, proposal, and other teams—to ensure accurate and compelling responses to Request-for-Proposals (RFPs). The coordinator will also support sales initiatives by tracking key metrics, conducting market research, scheduling meetings, and will be assisting in all other marketing and sales initiatives at the directive of the VP of Administration.The ideal candidate will demonstrate excellent communication skills and the ability to work effectively at all levels of the organization. A proactive, detail-oriented approach is essential to ensure the timely delivery of high-quality work that supports business development.Responsibilities Sales Proposal CoordinatorFacilitate the response process for formal RFQs, RFPs, and associated presentations. Develop materials with the assistance of the director and project team and compile all information to create a thoughtful, well-designed response.Collaborate with marketing, sales, operations, and executive teams to gather the necessary information, ensure compliance, and develop information for submitting proposal.Lead communication and organization to ensure RFP's are submitted prior to strict deadlines.Evaluate technical content and write/edit proposal sections according to company specifications.Work directly with customers and primes to address questions pertaining to open and lost RFP's and RFQ'sCreate/Upload/Update/Maintain records of bids and contracts in Salesforce.Monitor bid websites to identify relevant opportunities, distribute bid information to internal teams, and ensure adherence to deadlines and bid requirementsPlay a key role in determining the strategic theme for proposal responses and marketing presentation.Work effectively within the company's marketing objectives and assist in marketing projects including: create support materials, brochures, post cards, and company resumes, as needed and maintain an up-to-date library.Keep accurate and up to date customer lists for Olameter.Research prospective customers and cold call, scheduling introductory meetings for the sales team.Support the VP of Administration in helping to facilitate the companies sales and marketing objectives including: social media posting, website updates, marketing material updates, etc.Present a strong product knowledge to potential customers either directly face to face at company designated tradeshows or through virtual meetings.

Qualifications for Proposal CoordinatorBachelor's Degree in businessPrevious Demonstrated experience using InDesignPrevious experience with Salesforce is a plusPrefer three (3) years of high level/executive administration experience in a fast-paced environment.Advanced word processing skills and proficiency in Microsoft Office suite.Previous experience in utilities industry a plus.Advanced familiarity with RFI/RFP processes and procedures.Editing and templating competencies.Strong command of English language and good communication skills.Solid leadership, time management, and critical thinking skills.Travel 50% of the time
