We need someone who can seamlessly coordinate our team's efforts and help us maintain our momentum as we scale.Who we’re looking for:We're seeking an organized and proactive professional with strong coordination skills to be our Business Operations Coordinator in a dynamic start-up environment. As the backbone of internal operations, you'll foster collaboration, streamline processes, and ensure smooth day-to-day functions. We're looking for someone who communicates clearly, juggles multiple priorities with ease, and creates efficient workflows. If you thrive on bringing order to complexity and enjoy supporting the team, this role is perfect for problem-solvers who see opportunities where others see challenges.What you’ll be doing:Support key members of the leadership team in daily operations, project management, and strategic initiativesManage complex calendars, email inboxes, and organizational toolsCoordinate and execute internal events, including team-building activities and company-wide meetingsArrange company travel and manage related logisticsOversee office duties, including supply ordering and vendor relationship managementPrepare reports, presentations, and agendas for leadership meetingsAct as the first point of contact for internal and external communicationsIdentify and address potential issues before they become problems, helping executives focus on their core responsibilitiesProvide front-line support by documenting, triaging, and prioritizing team requestsAssist in streamlining and improving internal processes for greater efficiencyContribute to a positive, winning team culture across a globally distributed workforceMinimum Requirements:2+ years of experience in administrative or operational roles (event planning experience is a plus)Strong organizational and time management skillsExcellent written and verbal communication abilities, with the capacity to engage confidently and professionally with employees at all levels and external stakeholdersAdvanced calendar management skills, including the ability to manage complex schedules and coordinate multiple calendarsProficiency in Google Workspace (Docs, Sheets, Slides, and other tools) and willingness to learn new software toolsExperience in complex travel coordination, including efficiently managing travel logistics and handling last-minute changesProblem-solving and adaptability: Ambitious, motivated quick learner with critical thinking skills to navigate challenges in a fast-paced environmentTask prioritization and organization: Capable of consolidating multiple inputs, managing tasks, and ensuring no important details are overlookedProven ability to handle multiple priorities and meet deadlinesDetail-oriented with a focus on process improvementStrong interpersonal skills and ability to work in a diverse environmentBasic knowledge of office management practices and vendor relationsAbility to create clear, concise reports and presentationsExperience in anticipating needs and proactively solving challengesWe are a BYOD company and this role will require the use of your own personal laptop/computer.Why work at Xano:This is an exciting opportunity to work at a fast-growing, mission and community-driven startup.Opportunity for impact : we have an open, direct team culture: leadership discusses initiatives, issues, and plans openly, and enjoys being challenged on their thinking.We move fast : we are product-led and are focused on execution in the day-to-day.
