Educational and Experience Requirement:

Bachelor’s degree in Business, Marketing, Communications or related field. Six years of experience in one or more of the following areas: fundraising, sales, corporate relations, special events or a related field. Knowledge of Sam Houston State activities, policies, and University procedures would be helpful. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position:

Provides leadership and direction for the organization, growth and development of regional alumni clubs and constituent-based alumni programming and regional engagement. Identifies, recruits, trains and motivates volunteers to provide leadership for sustaining programs in support of the University’s strategic goals and that of the alumni association and annual giving.

Primary Responsibilities:

Schedules, implements and manages multiple projects, meetings and events. Develops and implements volunteer training, support materials and recognition programs. Designs programs that will support alumni membership, sponsorships, annual giving, and engagement with the Alumni Association and University. Works closely with high-level university administrators, deans and department heads on constituent-based alumni programming, both on campus and in regional areas. Works closely with key alumni leaders and donors for alumni club planning, participation and recruitment. Responsible for the establishment, maintenance, growth and development of regionally based alumni clubs and constituent-based chapters. Develops and executes an annual plan for club and chapter board and general meetings. Identifies, recruits, trains and motivates volunteer leadership. Works with university marketing to design creative collateral material to support volunteer leaders and to promote the clubs and programs. Oversees a database of volunteers and prospective leaders. Coordinates with development and admission staff to encourage alumni participation in the Annual Fund and student recruitment respectively. Works cooperatively with university and system officials on alumni legislative advocacy programs. Develops annual strategic plan to add new alumni clubs and constituent-based alumni programs and to strengthen existing ones, establishing agreed upon performance indicators which measure effectiveness. Maintains relationships and works closely with the assistant director for alumni life membership and engagement to increase financial support through memberships and sponsorships. Meets with each club and chapter president once quarterly, including at least two meetings of groups’ board of directors annually. Maintains monthly individualized communication with each club and chapter president. Ensures club and chapter meetings, minutes or notes, together with a current listing of groups’ board, are maintained on file in the alumni office. Handles other duties and responsibilities as may be assigned by the director of alumni relations. Performs other related duties as assigned.

Requires excellent verbal and written communication skills. Must be an effective public speaker and work collaboratively and congenially with faculty, staff, students and alumni to achieve mutually beneficial objectives. Requires the ability to manage multiple projects and assignments in support of the director and volunteer leaders is required. Must possess excellent interpersonal skills with a high level of professionalism. Must have the ability to accomplish projects with little supervision and to meet deadlines as scheduled. A commitment to customer service and high standards for quality work is required. Must have the ability to proficiently use the latest versions of Microsoft Word, Excel, PowerPoint, and mail merge, as well as email and the use of social media in the performance of duties. Knowledge of local, state, and federal laws. Ability to manage business functions. Represents the department to the public and key stakeholders. Requires a flexible work schedule, to include early mornings, evenings, weekends and occasional holidays. Monthly travel is required with some overnight stays.

Position duties include travel; therefore, a valid Texas driver license and reliable transportation is required. Position will at times include operating a University vehicle, therefore, a driving record acceptable to the University’s insurance carrier is required.

This position may be designated as a Campus Security Authority (CSA).

Up to 40% of this position, over the fiscal year during off-peak periods, may be performed remotely as determined by the supervisor.
