Program AssistantTemporary Job Description:Job Summary:Provides cross-team administrative support to the Northwestern Alumni Association (NAA) team within Alumni Relations and Development. This position primarily supports the alumni association by managing our initial interactions with alumni via the general information email inbox, assisting alumni and visitors to the alumni office, and being resourceful with online tools to direct alumni, responding to their questions about university events and programs. The program assistant's responsibilities include drafting and typing emails, generating and analyzing reports, creating charts and graphs to help tell our engagement story. Further duties include project assignments, event registration and reconciliations, material preparations, and financial reconciliations.Specific AccountabilitiesDocuments and DatabasesPrepares documentsIncluding, but not limited to memos, emails, labels, routine correspondence, etc.Responsible for coordinating alumni surveys for NU departmentsData entry and data tracking via spreadsheets and/or databasesCompiles regular reports, statistics, tables, charts, etc. from NU database and reporting systemsWebsiteCoordinates content maintenance of websites and/or blogs.NAA alumni websiteProvides initial Our Northwestern support as part of the Our Northwestern help desk.AccountingProcesses accounts payables and/or receivablesProcesses travel and expense reimbursements, invoice payments, visitor reimbursements, etc.Verifies income and/or expensesEnters, tracks, and reconciles financial transactionsEnsures that charges have posted to appropriate accountsInvestigates and resolves discrepanciesProject CoordinationTeam event registration tracking and reconciliation in alumni databasesEvent registration, tracking, and reconciliationCross-team project assignments (financial reimbursements, membership updates, and drafting club memos)InteractionsProvides information via phone, e-mail, mail, etc.Manages the NAA General Phone LineManages the NAA General Information InboxCo-Manages the AVP/ED InboxProfessionally represents the NAA and alumni during the business day and staffing NAA events interacting with various levels of personnel both internally and externallyMiscellaneousPerforms other duties as assigned
