The Seattle office is looking for an Executive Assistant/Office Manager to join their team. This role will require 5 days a week in office and will be responsible for supporting the Head of the Office (Regional Director) as well as the Client Advisors and Wealth Advisors, ensuring the office operates smoothly and collaborating with our Marketing team to coordinate local conferences and events.

Administrative Responsibilities

Manage calendars effectivelyHandle travel arrangementsPrepare timely and thorough expense reportsScreen incoming communications and route for follow-upCommunicate effectively with both internal and external contacts including significant prospect and client relationshipsProof standard correspondenceMaintain client confidentiality and information securityHandle mailings and maintain contacts though SalesforceOrganize meetings, luncheons and interviews as neededEstablish effective working relationships with colleagues and external contacts and may be asked to provide flexible support to other ManagersMarketing Responsibilities

Partner with the Marketing team, Investment team and Senior Management to plan and run regional eventsAssemble marketing presentation materials and maintain the marketing materials supply roomWork with presenters to ensure the presentation materials and hand outs are available on time and any audio visual requirements are satisfiedAttend and manage regional events on site as appropriateDevelop post-event communication plan for each eventProvide suggestions and problem-solving during the execution of the eventOffice Management Responsibilities

Handle routine office management functions including but not limited to:Partner with the building management, outside vendors and suppliersAct as receptionist for the officeManage vendor contracts for the officeOrder supplies for the officeManage the upkeep of the office kitchen and ensure all supplies are stockedQualifications

Bachelor’s degree and a minimum of 2-5 years of prior experience as an Office Manager and/or Administrative or Executive AssistantAdaptable and versatile skill setOutstanding phone skillsExperience with Salesforce and Microsoft Office suite (Word, Excel, PowerPoint, Outlook)Strong attention to detailAbility to quickly grasp systems/technologies used at BessemerExcellent organizational skills, including the ability to handle multiple tasks simultaneouslyThoughtful interpersonal skills and comfort working within a teamInterest/experience in financial servicesGood working knowledge of office technology (PCs, printers, fax and copy machines, etc.)The base salary range for this position is ($60,000 - $100,000). Actual salaries will vary and will be based on various factors, such as skills, experience, and qualification for the role. It is not typical for offers to be made at or near the top of the range.
